POSITION DESCRIPTION:
The Intake Specialist is a full-time grant-funded position administered through the Reentry Association of Western New York (RAWNY). RAWNY is a not-for-profit agency created as a reentry one-stop to provide services and support to individuals released from state, federal, and local institutional settings. RAWNY staff provide case management, referral services and support to clients by addressing systemic barriers increasing successful reentry.
The Intake Specialist greets clients and creates a positive and welcoming environment for staff and visitors. The candidate must be organized and engage in multi-tasking daily. The candidate will demonstrate computer proficiency, maintain client files, and schedule appointments. The candidate must be willing to interface with individuals of all diverse backgrounds with empathy and understanding and adhere to confidentiality rules and regulations.
DUTIES AND RESPONSIBILITIES:
The candidate will be responsible for the following duties and responsibilities:
- Understand and acknowledge the core values and mission of the agency and demonstrate skills during daily activities and be a committed team member
- Create a positive and welcoming environment for clients, visitors and staff
- Conduct a brief phone or in-person client intake and create a client file
- Answer and direct phone calls as needed
- Input routine updates into the case management system and enter progress notes, in a timely manner consistent with agency regulations
- Schedule appointments for case managers and as requested by other staff
- Order and purchase office supplies and maintain office inventory
- Distribute mail and prepare correspondence
- Responsible for ensuring compliance with all confidentiality requirements including HIPPA and adhere to all agency policies, procedures and regulations
- Perform other duties as requested by a supervisor or the management team
SKILLS AND QUALIFICATIONS REQUIRED:
- High school diploma or equivalent degree with at least one (1) year administration responsibilities or duties in a related field
- Proficient in computer software including but not limited to the internet, MS Office Products and Excel
- Excellent communication and interpersonal skills, including the ability to diffuse upset clients
- Enjoy working with clients from diverse backgrounds, including those with serious mental illness and criminal histories responding to client needs with sensitivity, care, and concern
- Must be committed to working in a collaborative multidisciplinary team with demonstrated organizational and problem-solving skills
- Handle sensitive information ethically and responsibly
- Adhere to agency policies and procedures and to all HIPPA rules of confidentiality of client, employee and business information
- Spanish-speaking a plus
BENEFITS INCLUDE:
- Full-time schedule working 35 hours weekly
- (Schedule: Monday - Thursday 8 am – 4 pm and Friday 8 am –1 pm)
- Salary ranges from $38,000-$42,000 depending on experience and licensure
