Job Purpose:
The Front Desk Admin role is the first point of contact for our patients and guests. In order to achieve the highest customer satisfaction, this role is responsible for facilitating all patient inquiries and visits in an unparalleled, friendly, and respectful manner.

Duties and Responsibilities:
- Greets each patient and/or guest in a friendly and welcoming manner.
- Responds to, directs, and maintains phone calls and electronic communications.
- Performs scheduling tasks including scheduling/rescheduling appointments, coordinating daily appointment flow, coordinating video consults, etc.
- Determines the type of insurance to verify in-network status.
- Collects and processes payments.
- Scans, faxes, and emails confidential documents within and outside the office.
- Maintains strict confidentiality; adheres to all HIPAA guidelines/regulations.
- Maintains a clean workspace and orderly patient waiting areas.
- Other duties as assigned.
Qualifications
Education:
- High school diploma or equivalent
Experience:
- 2 years in a medical office setting preferred.
- 1 year with Electronic Medical Records software (We use EMA).
- Experience in a plastic surgeon's office or medical aesthetics is a plus.
Knowledge:
- Helpful but not necessary: medical terminology, cosmetic procedures, and skincare products.
Skills:
- Excellent organizational skills, including the ability to prioritize and coordinate multiple tasks.
- Excellent written and verbal communication skills, including professional phone etiquette.
- Excellent interpersonal skills with the ability to effectively interact with internal and external businesses and staff at all levels.
- Able to coordinate several projects to completion with little or no supervision.
- Ability to calmly, promptly, and flexibly respond to shifts in direction, priorities, and schedules in high-stress/emotion situations.
- Uses sound judgment and problem resolution skills.

Working Conditions
This job operates in an office environment integrated with that of a clinic, spa, or office. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical/Mental Requirements:
- While performing the duties of this job, the employee is regularly required to talk or hear.
- The employee frequently is required to stand, walk, or sit for extended periods of time.
This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
