Job Summary:
The Operations Planning Coordinator plays a vital behind-the-scenes role in supporting operational programs and initiatives within Refuel Operating Company. This position collaborates with all support departments — including Marketing, HR, Training, IT, Merchandising, Accounting, Legal, Risk, and Foodservice — to ensure smooth execution, timely reporting, and clear communication across teams.
The ideal candidate embraces a servant leadership mindset — proactively supporting store teams and Operations leadership by anticipating needs, solving problems, and ensuring others can perform at their best. They are detail-oriented, skilled in Excel and Power BI, and passionate about contributing to shared success.
Essential Job Duties and Responsibilities:
Maintain rollout calendars and coordinate scheduling of operational initiatives, ensuring timely execution and minimizing overlap or conflicts.
Complete weekly reporting on KPIs, project milestones, and initiative progress; summarize insights and distribute actionable updates to Operations and Support teams.
Analyze data from multiple sources and compile clear summary decks and dashboards using Microsoft Excel and Power BI.
Support onboarding and integration logistics for acquisitions and new market entries, including scheduling, documentation preparation, and tracking.
Serve as a communication liaison between Field Operations and Support departments, helping streamline messaging and clarify responsibilities during rollouts.
Create and distribute project materials, training documentation, internal memos, and meeting prep resources tailored for field and support teams.
Manage and maintain shared files, trackers, and databases, ensuring accuracy, accessibility, and version control.
Coordinate cross-functional meetings, prepare agendas, take detailed notes, and monitor follow-up actions to support project accountability.
Provide first-line support for minor system/process questions or issues, escalating when necessary while maintaining responsiveness to the field.
Identify and suggest improvements for operational tools, communication templates, and workflows to enhance efficiency and user experience.
Demonstrate reliability through consistent attendance, punctuality, and adherence to company policies and expectations.
Required Knowledge, Skills, and Abilities:
Proficiency in Microsoft Excel and PowerPoint.
Excellent organizational and project-tracking abilities.
Clear and concise written and verbal communication skills.
Ability to handle multiple projects in a fast-paced environment.
Understanding of retail operations and a strong commitment to supporting field teams.
Strong interpersonal skills and a team-oriented, servant leader approach.
Preferred Knowledge, Skills, and Abilities:
2 years in administrative, operations support, or coordination roles.
Experience in retail, convenience store, or field-based environments.
Familiarity with multi-unit operations and cross-functional project work.\\
Positive, flexible, and collaborative approach in a growing organization.
Power BI experience (reading/writing reports) is a plus.
Working environment and physical requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift 15 pounds at times.
Must be able to travel up to 25%.
