Role Overview:
As a Facility Recruiter / Administrative Assistant at Venza Care, your focus will be to manage recruitment efforts at the facility level. You will drive the hiring process by sourcing, screening, scheduling, and helping onboard top talent that aligns with our mission of compassionate care, administrative support for staff education tracking, employee file maintenance, and organizing the timely completion of staff performance reviews—ensuring compliance without handling or conducting HR duties.
Recruiting:
- Act as the primary point of contact for all open facility positions
- Partner with department leaders to understand staffing needs and urgency
- Post jobs, manage applicant flow, and screen candidates through our ATS (Chattr)
- Schedule interviews and assist in coordinating next steps in the hiring process
- Ensure timely follow-up and communication with candidates
- Assist with onboarding coordination and facility-level orientation schedules
- Collaborate with the central recruiting team to meet hiring targets and deadlines
- Track recruitment progress and maintain accurate hiring logs
Administrative Support:
- Organize and maintain employee records and training documentation
- Assist department heads in tracking completion of required Relias trainings
- Coordinate timelines and collection of staff performance reviews
- Support staff communications and recognition initiatives
- Monitor license and certification expiration dates and alert leadership of renewals
- Ensure compliance with file maintenance standards
Qualifications:
- 1 year of recruiting or administrative experience, preferably in a healthcare or long-term care setting
- Familiarity with ATS platforms (Chattr preferred) and file management tools
- Strong communication and interpersonal skills
- Highly organized, detail-oriented, and able to manage multiple priorities
- Proficient in Microsoft Office (Outlook, Excel, Word)
- High school diploma or equivalent required; college coursework or degree in business or healthcare administration a plus
