Center Coordinator of Operations - Job Description
(approximately 25 hours per week during the academic year)
Mission Summary: Regina Caeli Academy, the fastest growing homeschool hybrid in the Catholic tradition in the U.S., is seeking inspiring, organized, and faith-filled individuals to guide the educational mission of our centers with passion and excellence.
The ideal candidate will be deeply committed to fostering a Christ-centered environment where students are formed in virtue and academic excellence. As one of the local administrative leaders, the Center Coordinator of Operations ensures that the center is functioning smoothly in accordance with the mission of Regina Caeli. The Center Coordinator of Operation is responsible for ensuring that the center and its staff has all necessary inventory, including books and materials, financial goals as set forth by Regina Caeli are met for the operation of the local center, and high parent involvement is maintained in the community. The Center Coordinator of Operations will establish a safe learning environment for our students according to our policies and expectations, maintain a good relationship with our rental facilities, and work collaboratively with our Center Coordinator of Education to advance our mission.

Primary Responsibilities
Center Excellence
- Collaborate with the Center Coordinator of Education on tasks, events, and expectations to run the center effectively
- Coordinate with the Center Coordinator of Education the responsibilities for opening and closing each center day
- Support the Center Coordinator of Education with admissions and enrollment
- Make all necessary preparations for a new academic year
- Maintain relationship with the facility as our liaison and oversee facility usage and cleaning of the facility
- Conduct and report on safety drills (fire, severe weather, lockdown, etc.)
- Oversee inventory and submit quarterly supply orders to the home office, as well as make purchases locally with RCA issued credit card when necessary
- Attend all necessary administrative trainings virtually and in person
- Teach 1 upper school course or lower school core subjects
Parent Communication and Community Engagement
- Facilitate the successful execution of events held at the center
- Guide parent volunteers on all respective committees
- Organize and manage parent volunteers for each event committee, including identifying a lead to delegate tasks among the committee members
- Oversee the creation and distribution of the center yearbook
Center Operations
- Collect all attendance and enter into FACTS after morning assembly
- Maintain hard copies of center files
- Create and update Important Information Center Binder
- Assign classrooms
- Oversee end of the year staff work day
- Prepare documents and assist at staff training
- Create and maintain folders of materials to distribute to families, staff, and students
- Oversee book distribution, including collecting and redistributing books when teaching responsibilities change at the end of the year and mid-year
- Maintain the center calendar (with help from CCE)
- Collect monies, account for monies collected at center, and deposit money into RCA's account when necessary
Center Fundraising
- Facilitate local fundraising events and provide support for national events, such as Giving Tuesday and the annual RCA gala
- Manage budget and target fundraising goals as set forth by Regina Caeli
Required Skills
- Practicing Catholic with a commitment to RCA's mission
- Bachelor's Degree required
- Background in classical education, ministry, administration, and/or home education highly preferred
- Commitment to form young men and women in accordance with our Catholic faith to build a vibrant and positive local community culture
- Ability to inspire the community and manage professional relationships
- Excellent leadership skills, with the ability to communicate, inspire, and motivate tutors, staff, and students
- Strong organizational skills, with the ability to communicate, prioritize, and manage multiple initiatives simultaneously
- Commitment to continuous improvement and innovation
- Competency in coordinating events, public speaking, and collaborating with others
- Previous experience and/or willingness to learn Google Workspace, financial platforms (QGiv), Student Information Systems, and school-home communication platforms
Applicants must be able to sign an Oath of Fidelity to the Catholic Church and have a deep love for the Catholic faith. Curriculum and grading guidelines are provided. Tutors are trained to provide instruction and classroom management according to RCA standards. The ideal applicant will have strong communication skills, good organization, timeliness, a traditional view of the student/teacher relationship, and must be living the Catholic faith day-to-day, including having received all the sacraments appropriate to his or her state in life.
