Job Description
TITLE: Program/Event Assistant
DEPARTMENT: Early Learning Academy (ELA)/Family Enrichment Program (FEP)
QUALIFICATIONS:
- Excellent customer relations and problem-solving skills
- Strong communication and interpersonal skills
- Outstanding organizational skills and attention to details
- Proficient with Office, Google, web-based software, and comfortable learning new computer skills
- Ability to manage multiple tasks
- Preferred, degree or certificate in business administration or related or commensurate work experience
- A valid driver’s license and/or access to reliable transportation
REPORTS TO: ELA/FEP Program Coordinators
WORK SCHEDULE: Full time, 12-month position, 35 hrs./wk. Travel within Jo
Daviess and Stephenson Counties, Grant funded position contingent on continued
state funding
SALARY RANGE: $17.00 - $19.00/hour

RESPONSIBILITIES:
- Provide high quality customer service to all contacts
- Assist program staff in duties of the department including compiling various program folders
- Assist with data collection, oversight, entry, and reporting in data systems/record keeping: e.g. ISBE SIS, Visit Tracker, worksheets, etc.
- Professionally answer the telephone. Give information to callers, take messages and/or transfer calls to appropriate individuals
- Organize, inventory, and order supplies
- Provide Department meeting support. Compose, type, and distribute meeting notes
- Assist with program recruitment/enrollment and assist with referrals through coordinated intake
- Assist Coordinators in maintaining continuous quality improvement and with compliance visits
- Assist with maintenance of program files, resources, and completion of reports
- Set up and maintain paper and electronic filing systems for records, correspondence and other materials
- Operate office equipment such as fax machines, copiers, phone systems, postage machine and use computers for spreadsheet, word processing, database management, etc.
- Learn to operate/implement new technologies as available
- Assist in maintenance of program content on ROE8 website and social media
- Provide support with coordination and facilitation of parent and community events
- Assist in development of event materials
- Assist with delivery and pickup of classroom materials in Stephenson and Jo Daviess counties
- Travel to satellite offices (East Dubuque & Galena) to provide support as needed
- Attend trainings, as appropriate
- Perform other duties called for within the position as needed.
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
