Rehab Specialists Inc is looking for a hard-working and eager-to-learn administrative assistant that will be able to travel to all work locations as needed. We are a physical therapy company with four clinics located in Encino, West Los Angeles, Santa Monica, and Marina del Rey. Primary Responsibilities
- Provide a warm and professional greeting to patients.
- Answering multi-line phone
- Open clinic/Close clinic and print daily schedules and ensuring that all charts are ready and organized
- Keeping the clinic presentable, rooms neat ,and clean throughout the day.
- Respond to any needs for information from patients and provide assistance.
- Process intake paperwork, and pre-visit summary reports ensuring all documents are complete and signed as required. File any outside records and medication lists into record.
- Obtain & process co-payments. Log in all co-payments of payment for office visits at time of visit. Process any credit card payments. Prints out daily log and reconciles collections efficiently prior to end of day.
- Ensure insurance referrals are available and up to date at time of visit and documented in Webpt. This may require calls to PCP offices for outstanding referral requirements prior to patient arrival.
- Be available to assist with follow up appointments as patients check out after appointment and provide back-up assistance to co-workers if needed.
- Responsible for maintaining scheduling of patients
- Other generally required administrative tasks such as answering phones, scanning, and working as a team member to ensure all front end revenue tasks are completed
- Special administration projects from upper management
Qualifications
- One year customer service experience and knowledge of current general office practices, procedures, equipment and personal computers
- Familiar with insurance verification and requesting authorizations
- High school graduate or higher
- independent judgment
- accurate arithmetic computations
- effective and diplomatic oral and written communications
- maintenance of confidential information
- accurate typing 55 wpm
- experience with Microsoft Excel, Word, Google business
- knowledge of medical terminology
- prioritization of projects/functions in a busy work environment
- able to multitask and work in a high paced environment
- able to cover other offices if needed
Schedule:
- Mon - Fri
- Weekends may be needed
