We are looking for a full time Front Desk Receptionist. This position is responsible for providing and managing administrative support across the organization. Responsibilities include managing the front desk schedule, providing compassionate and responsive support to patients, maintaining medical charts and filing, telephone reception, scheduling, filing and other administrative tasks.
To be successful in the role, you should have a pleasant and engaging personality – this is a front-facing position with lots of personal interactions. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Ultimately, your duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Register new patients and assist patients and visitors as needed
- Answer, screen and forward incoming phone calls
- Ensure reception area and patient breakroom are tidy and presentable, such as ensuring brochures, business cards and breakroom supplies are stocked
- Provide basic and accurate information in-person and via phone
- Receive, sort and distribute daily mail/deliveries/faxes
- Maintain office security by following safety procedures and controlling access, including security access system management
- Update calendars, schedule patient appointments and manage reminder calls
- Maintain patient charts, ensuring accurate filing and documentation
- Perform other administrative duties such as faxing and filing. Provide backup to other administrative staff as needed.
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role in a medical setting, with at least 2 years of experience
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
