Position Summary

The Academic and Transfer Advisor is responsible for providing guidance and support to applicants, prospective students and current students throughout their academic and career technical course planning. The Academic and Transfer Advisor evaluates students’ progress toward degree requirements and provides guidance on course registration, scheduling and transfer. The Academic and Transfer Advisor makes referrals to available College resources such as campus policies, procedures, the Alabama Transfer Guide, and academic requirements while maintaining thorough and up-to-date files on student appointments and correspondence. The Academic and Transfer Advisor also maintains the integrity of student systems. The Academic and Transfer Advisor is a team player who collaborates with college administrators, faculty, staff and colleagues across the Alabama Community College System to maximize student success at Reid State.
Salary Commensurate with education and experience according to ACCS Board of Trustees Salary Schedule E3/03.

Essential Duties and Responsibilities

Major Responsibilities


  • Integrate best practices to support students’ recruitment and increased retention and graduation rates, including credit momentum and connection to campus resources and opportunities.
  • Advise and communicate with students each semester in all phases of registration and admissions cycles via personal appointments, phone calls and written correspondence. This effort includes assistance with add/drop timelines, enrollment verification, academic forgiveness, course load adjustments, official and unofficial withdrawals, and non-attendance/non-payment drops.
  • Guide students in selecting transfer institutions and identifying necessary procedures and equivalent courses, staying abreast of the Alabama Transfers guide as well as Reid State MOUs with other colleges and universities.
  • Maintain knowledge of Reid State catalogs and student handbooks, Banner, and Degree Works, and assist students in using these tools.
  • Inform students about financial aid opportunities and other college policies.
  • Assist students with problem solving/college related issues such as encumbrances, tuition issues, computer accounts, registration, transfer credit issues, etc.
  • Collaborate and communicate with prospective students to provide a seamless transition into academic and/or technical programs.
  • Conduct program information sessions on multiple campuses and sites as needed.
  • Create group advising modules that teach an in-depth understanding of curricular options and course planning.
  • Work well with recruiters and admissions to analyze recruitment data and predict enrollment patterns, making adjustments and recommendations accordingly.
  • Perform administrative assistant duties to include but not limited to coordinating content and assembly of information/application packets, maintenance of student files, reinstatement requests, and other areas as assigned.
  • Work with Dean of Students and Dean of Instruction to prepare reports as needed.
  • Work well with others and show respect to all college constituents.
  • Attend workshops and meetings that contribute to planned professional development.
  • Demonstrate ethical behavior, loyalty, honesty, and integrity, both on and off the campus.
  • Assist students and train staff in navigating processes related to registration, academic records, transcript requests, and degree plans.
  • Serve as a liaison among students, faculty and the Dean of Students, and participate in student orientation and other student engagement activities.
  • Ensure the integrity of processes used to create and maintain academic records.
  • Actively participate in committees, professional development, and campus activities.
  • Demonstrate ethical behavior, loyalty, honesty, and integrity on and off campus.
  • Participate in systemwide professional development, including regular Advisor/Student Services training (virtually and in-person) and annual workshops.
  • Perform other duties as required by the President and Dean of Students.

Qualifications

  • Bachelor’s degree or higher from a regionally accredited college or university is required.
  • At least five years’ of education experience is required.
  • Strong computer skills (Excel, Word, Microsoft Office Suite, etc.) are required.
  • Experience in effectively communicating within online student information systems, customer relationship management (CRM) and data systems and software such as but not limited to Banner, ARGOS, DegreeWorks NeoEd, and Salesforce/TargetX, is required.
  • Experience with higher education academic records policies and practices and records retention and security is required.
  • Experience working well with individuals from several different backgrounds, age groups, career paths, generations, and economic statuses is required.
  • Excellent interpersonal and communications skills are required.
Limiting Requirements
  • Manual dexterity and ability to perform extensive and prolonged data entry.
  • Ability to lift boxes weighing approximately 20-30 lb.
  • Ability to move computer equipment (printers) if required.
  • Ability to perform extensive numerical and statistical calculations.
  • Ability to conceptualize, develop, and edit comprehensive statistical reports.
  • Visually, auditorally, and orally able to perform the reporting, data analysis, computer, and supervisory functions of the position.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers' Retirement System of Alabama.

PEEHIP, established in 1983, provides health insurance benefits for active and retired education employees and is governed by the PEEHIP Board of Control. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:
  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
Note: Employee is vested after 10 years in Retirement System. Additional information regarding retirement may be obtained from the Retirement System Web site at www.rsa.al.gov.
