Position Summary
The Fiscal Office Accountant/Accounts Payable is directly responsible to the Executive Director of Financial Services.
Salary Commensurate with education and experience according to ACCS Board of Trustees Salary Schedule C3.
Essential Duties and Responsibilities
The Fiscal Office Accountant/Cashier shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the Reid State Technical College Faculty and Staff handbook:
- Verify accounts payable are ready for payment.
- Prepare accounts payable checks and computerized files.
- Work with vendors to insure all invoicing is accurate.
- Work with employees to ensure all items have been received and are true to invoices.
- Maintain college assets module on a monthly basis.
- Assist in the bidding process.
- Keep updated records of all physical inventory for campus.
- Receipt all EFT received from State and Federal Agencies.
- Monitor Banner reports received each day and reconcile any errors noted.
- Calculate the annual allowance for doubtful accounts at year end.
- Responsible for the calculation and remittance of term based bond surety fees to ACCS.
- Assist with the state and institutional functions associated with the bid process.
- Handle outstanding checks/process unclaimed property.
- Perform journal entries as assigned.
- Maintain general office records, reports, files, databases, and spreadsheets as required by the Executive Director of Financial Services and/or President.
- Assist with the annual and amended budget processes for unrestricted and restricted (grant) funds.
- Assist with closing out each month.
- Responsible for calculating the fall payable accrued at year-end.
- Gather data for scholarship allowance elimination entry at year-end.
- Assist the Executive Director of Financial Services with year-end procedures and the preparation of the annual financial statement and notes to the financial statements.
- Assist with the preparation of financial data during the annual audit.
- Stay abreast of all federal, state, local and college laws, regulations, guidelines, policies and procedures relating to students.
- Help maintain capital asset inventory and prepare year-end changes in capital asset reports.
- Participate in staff, division, and committee meetings as assigned.
- Attend training and professional development workshops and conference in all related areas.
- Cross train in other positions within the Business Office.
- Perform other duties as assigned by the Executive Director of Financial Services and/or President.
- Ensure the utmost confidentiality is maintained with student and college records, reports, etc.
- Demonstrate ethical behavior, loyalty, honesty, and integrity, both on and off the campus.
- Participate in staff, division, and committee meetings as assigned.
- Activity participate in division/college committees and campus activities.
- Other duties assigned by the President and Executive Director of Financial Services.
Qualifications
- Bachelor Degree in Accounting, Business, Management or related field from a regionally accredited institution required.
- Five years experience in and demonstrated knowledge of governmental fund accounting.
- Effective oral and written communication skills.
- Demonstrated proficiency in mainframe accounting software, Microsoft etc.
- Ability to work cooperative while meeting short deadlines.
- Ability to project a professional and congenial demeanor.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control.
