What are the responsibilities and job description for the Med Spa Front Desk Receptionist/Scheduler position at RejuveCare Clinic & Medical Spa?
The Scheduling Coordinator is the primary liaison between the RejuveCare Clinic and its’ patients. This position plays a vital role in the fluidity of the office. As such, this position’s first impression (appearance/professionalism) and continuing customer service and organizational skills are paramount in providing a positive experience for the patients and facilitating their optimal plan of care. Must like to interact with people and have outgoing personality. Likes to participate in team events and work with social media postings.
PRIMARY RESPONSIBILITIES
- Open and/or close the office.
- Greeting and check-in patients.
- Answer telephone.
- Take accurate messages and deliver to appropriate staff.
- Assist our physician with medical procedures.
- Enter patient demographics and all contact into practice management system.
- Coordinate and implement effective and rational patient scheduling.
- Monitor and respond to follow-up text messages, emails and phone calls.
- Collect and post charges and monies for appointments as needed.
- Maintain inventory for front office supplies, skin care and all retail items. Restock and face all retail items throughout the day.
- Keep the reception area, front desk and restrooms neat and clean.
- Keep provider’s schedules up to date and organized.
- Help with the flow of clinic directing medical personnel in the appropriate direction.
- Maintain office flow going by placing patients into the designated reception room and keeping good communication with back staff.
- Medical Assistant Duties as needed, such as turning over treatment rooms for next patient, Experience as a medical assistant or knowledge of aesthetics procedures and practices.
- Other duties as assigned.
