Job Overview
We are seeking a highly organized and personable Front Desk Receptionist to be the first point of contact for our clients and visitors. This role is essential in creating a welcoming atmosphere and ensuring the smooth operation of our front office. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and a proactive approach to office management.
Responsibilities
- Greet and assist visitors in a friendly and professional manner.
- Manage incoming calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
- Schedule appointments and manage calendars efficiently to optimize time for staff and clients.
- Maintain organized filing systems for easy access to documents and information.
- Protect patient information, HIPPA compliance, confidentiality.
- Ensure smooth work flow of clients, and ability to multi-task.
- Handle administrative tasks such as data entry, correspondence, product inventory, stock replenishment, and office supplies management.
- Support office management duties, ensuring the front desk area, treatment rooms, and med-spa facility is tidy, clean, and presentable at all times.
- Act as a personal assistant to senior staff members when required, providing support on various tasks.
- Willing to participate at networking opportunities, assist with social media posts and content, public relation, in promoting business.
Skills
- Proficient in QuickBooks and other office software applications.
- Strong administrative skills with attention to detail and accuracy.
- Exceptional customer service skills with a friendly demeanor.
- Effective office management capabilities, including file organization and calendar management.
- Excellent phone etiquette with the ability to communicate clearly and professionally.
- Ability to type efficiently while managing multiple tasks simultaneously.
- Familiarity with phone systems and basic troubleshooting skills is a plus.
