ROLE OVERVIEW

The Collections Specialist will play a vital role in managing the company's revenue cycle by ensuring timely collection of outstanding accounts receivable and minimizing delinquent balances. The ideal candidate will have a strong background in collections, accounts receivable management, and customer relationship management, focused on reducing aged receivables and optimizing cash flow. This role will involve active communication with customers and internal teams to resolve payment issues and ensure quick and effective collections. The Collections Specialist will report to the Billing Manager and will be an essential part of the accounting team to help maintain the company's financial health.

WHAT YOU WILL BE DOING

• Manage the full collections process, including following up on overdue accounts, negotiating payment plans, and ensuring timely payments.
• Review and monitor accounts receivable aging reports to identify and resolve overdue balances.
• Communicate with customers via phone, email, and other channels to discuss outstanding invoices and resolve payment disputes.
• Work closely with the billing and finance teams to investigate discrepancies and reconcile customer accounts.
• Document all collection activities and maintain accurate records in the accounting system.
• Maintain consistent contact with customers to ensure payments are made in accordance with terms, including providing statements and reminders.
• Assist customers with payment issues or queries, ensuring that they receive prompt and clear responses.
• Collaborate with management to generate reports on collections performance and provide updates on aged receivables.
• Offer suggestions for process improvements to optimize collections efficiency.
• Participate in monthly reporting, including the reconciliation of accounts and monthly collections forecasting.
• Ensure compliance with company policies, credit practices, and legal requirements in all collections activities.
• Perform additional duties as assigned by management to support the finance department's goals.

REQUIREMENTS

• Minimum of two (2) years of experience in collections, accounts receivable, or a related financial role.
• Proficiency in accounting software (e.g., Servicetrade, Salesforce, Sage Intacct) and advanced knowledge of Microsoft Excel.
• Experience in managing collections, negotiating payment terms, and resolving customer disputes.
• Strong knowledge of accounts receivable processes and best practices in collections.

IDEAL QUALITIES

• Experience in industries such as construction, HVAC, fire safety, or other route-based services is preferred.
• Ability to work independently and manage a high volume of collections activities in a fast-paced environment.
• Strong negotiation skills with a focus on maintaining positive customer relationships while ensuring payments are collected.
• Self-motivated with excellent problem-solving and time management skills.
• Highly organized with exceptional attention to detail.
• Strong communication skills, both written and verbal, to engage effectively with customers and internal teams.
• Analytical skills and the ability to assess account statuses and trends.
• Experience in data entry and maintaining high accuracy under tight deadlines.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

• Overtime hours may be required at month-end and as needed.
• This is a hybrid role based out of the Secaucus, NJ area.
• Reports directly to the Billing Manager.
