Description
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following and are not all-inclusive. Other duties may be assigned as required by management.
Reception (.5 FTE)
- Answer incoming calls, determine nature of business and direct calls to appropriate personnel.
- Open daily mail and distribute it to proper personnel.
- File invoices daily.
- Arrange for repairs to fax, copier, and postage machine, when necessary.
- Coordination of year-end files and records.
- Distribute faxes.
- Perform a variety of clerical duties.
- All other projects as assigned by Management.
Administration/Accounting (.5 FTE)
- Invoicing of completed service work.
- Daily invoice and inspection report submission to customers.
- Customer maintenance in Q360 (Contact revisions, accounting alert updates, etc.).
- Log hours for shop productivity.
- Perform customer Web invoicing submittal through multiple portals.
- Respond to customer invoice inquiries.
- Aid in collection of past due funds and statements.
- All other projects as assigned by Management.

EDUCATION and/or EXPERIENCE:
High School diploma or equivalent; or one to two years’ related experience and/or training; or equivalent combination of education and experience.
