Job Summary
The Project Coordinator is the glue between the signed deal and the boots-on-the-ground kickoff. You’ll own the 8–12 week phase between when a client says “yes” and when our Project Manager takes over. This means managing selections, coordinating with designers and draftsmen, preparing permit packets, organizing material orders, and proactively keeping things on track. You’ll ensure nothing falls through the cracks—especially when our sales team is out winning the next job.
Key Responsibilities
- Serve as the primary project organizer from signed agreement to handoff.
- Coordinate selections with clients and designers—use our templates to gather product names, specs, lead times, and approval status.
- Work with draftsmen to ensure accurate measurements and plans, especially for items like windows, doors, cabinetry, and tile layouts.
- Manage documentation for permitting—including FEMA 50 packets, NOCs, NOAs, and plans—with support from our internal admin team.
- Prepare project handoff packages that include final plans, materials, and selections for the Project Manager.
- Order construction materials, verify lead times with vendors, and track deliveries.
- Keep communication flowing between sales, clients, designers, and production to ensure nothing stalls out.
- Support the creation of standardized processes for selections and pre-construction setup.
- Track status of selections and permit progress, flag roadblocks, and recommend solutions.
- Prepare and submit internal forms after every selections meeting to consolidate decisions and keep the team aligned.

Requirements
- Experience in residential construction coordination, design support, or project administration.
- Strong organizational and communication skills—you’ll be juggling designers, vendors, and internal team members.
- Familiarity with construction plans, materials, and terminology.
- Comfortable working with permitting paperwork and coordinating with draftsmen.
- Highly detail-oriented and process-driven with a knack for keeping things moving.
- Tech-savvy—comfortable using systems like JobTread, Google Sheets, and construction tracking tools.
- Reliable, proactive, and accountable—this role requires initiative and ownership.
- Sarasota-based or surrounding areas / willing to relocate.
Salary
$55,000 – $65,000 Base Performance Bonus Plan (Based on experience and fit)
