We are seeking a detail-oriented and experienced Accounting Specialist to join our team. This role will support the accounting functions of our general contracting business, ensuring accurate financial records, timely processing of payments, and compliance with industry-specific billing and reporting requirements. The ideal candidate will have experience in accounts payable (AP), AIA billing, reconciliations, and working with contractors.
Key Responsibilities:
- Process vendor invoices, verify accuracy, and ensure proper coding to job cost accounts.
- Match invoices with purchase orders and ensure timely approvals.
- Maintain vendor records and manage payment schedules.
- Resolve discrepancies with vendors and subcontractors.
- Prepare and process check runs, ACH payments, and credit card transactions.
- Prepare and submit AIA progress billings, including additional forms needed.
- Track and monitor payment applications, retainage, and lien waivers.
- Ensure compliance with contract terms and client requirements.
- Work closely with project managers to gather necessary billing details.
- Reconcile bank statements, credit card accounts, and vendor accounts.
- Assist in month-end and year-end closing processes.
- Maintain and update financial reports related to job costing, project expenses, and profitability.
- Coordinate with subcontractors and vendors regarding invoicing and payment terms.
- Maintain subcontractor compliance, including insurance certificates and W-9s.
- Assist in tracking project budgets and cost allocations.
- Support project teams with financial data and reporting.
Qualifications & Skills:
- 2 years of accounting experience, preferably in the construction or general contracting industry.
- Proficiency in AIA billing and construction-related accounting processes.
- Strong knowledge of accounts payable, reconciliations, and job costing.
- Experience with accounting software such as Sage 300 (Timberline) or similar construction-related platforms.
- Excellent attention to detail and organizational skills.
- Strong communication and problem-solving abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications:
- Experience working with general contractors or subcontractors.
- Familiarity with lien waivers, retainage, and construction contracts.
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (preferred but not required).

Pay: $54,000.00 - $63,000.00 per year
