Position Title:                          ÆRENA Galleries & Gardens, Registrar

Position Status:                        Full-time,  Salaried

Reports to:                              Director of Operations   

Location:                                Multiple Napa Valley Locations

Supervisory Responsibility:        Inventory, Consignment Lead, Scheduling

Position Summary:

The Registrar position’s core purpose is to maintain and refine the system for all consigned and owned inventory. Ensuring that items are being properly coded and priced for the most effective inventory turn is critical for the business. The fast-paced position requires a high level of attention detail and organization. The register will be working with multiple departments within the organization, including the sales team, accounting and administrative/operations personnel.

Essential Job Responsibilities:

• Scheduling/Coordinating delivery of works, communicating with shippers & art handlers
• Consignment and Return to Artist (RTA) agreements
• Communication with artists
• Inventory distribution and transfers
• Inventory data entry, tagging, tracking
• Warehouse organization system
• Photo Documenting & condition reports
• Maintaining the art gallery's computer database related to inventory
• Managing the calendar for deliveries, shipping, and exhibition installation and deinstallation
• Managing and overseeing loans of artwork to Strategic Business Partners
• Caring for and preserving works of art
• Support shipping as needed
• Ongoing Audits verifying pricing and location
• Weekly Planning meetings with Director of Operations

Qualification Requirements:

·   Computer proficiency: Microsoft Word, Excel, Outlook, Photoshop

·   Ability to prioritize and get things done in a rapidly changing environment.

·   Must be able to balance the aesthetic/business/marketing /management demands

·   Must have a strong, unique personal aesthetic and the confidence to stand behind it.

·   Exemplary interpersonal communication skills.

·   Team player with enthusiastic outlook and creative mind.

·   Valid CA Driver's license.

Education / Experience Requirements:

·   2-3 years experience in art operations

·   B.A./B.S. degree preferred, but not required

Physical Requirements:

·   Must be able to lift up to 40 pounds

·   Must be able to work standing and walking for extended periods of time
