Overview
Renaissance House, Inc. seeks a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing schedules, facilitating communication, and ensuring the smooth functioning of the office environment. This position requires strong organizational skills and proficiency in various administrative tasks.
Responsibilities
- Create weekly schedules for Hancock County employees under the Service Coordinator's supervision.
- Review time transactions comparing daily schedules to hours worked.
- Answer phones and direct the caller to the appropriate staff member with professionalism.
- Manage appointments, meetings, and events calendars to optimize time management.
- Assist with scheduling employee training for CPR/1st Aid class, Medication Recertification, and physical intervention training.
- Gather information for Medicaid recertification and other benefits such as Job and Family Services and Metro housing.
- Track yearly appointments for physicals and OTC/PRN medications.
- File all documents relating to client information and employee training.
- Track reports for individual-specific training.
- Keep records of clients who attend the Special Olympics
- Collate new hire folders
- Remove/store all terminated employee files.
- Enter data for outcomes, IO Waivers, UI Reports, and incidents reports.
- Deliver Financial records to the Tiffin, Ohio, corporate Office twice per month.
- Maintain a professional work setting.
- Employee will be required to carry the on-call phone if needed.
- Maintain organized filing systems, both electronic and paper-based, to ensure easy access to information.
- Utilize Microsoft Office and other office software to create documents and spreadsheets.
- Perform data entry tasks accurately and efficiently while maintaining confidentiality.

Requirements
- One year of proven experience as an Administrative Assistant or in a similar role is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent time management skills to prioritize workload effectively.
- Proficiency in Microsoft Office
- Exceptional verbal and written communication skills.
- Experience working with individuals with developmental disabilities is a plus but not required.
- Ability to work independently as well as collaboratively within a team environment.
- Attention to detail with strong computer literacy skills for data entry and document preparation.
