The role of the Wedding Venue Coordinator is to manage all assigned weddings for Renault Winery Resort. This role will be responsible for managing all wedding details and day-of wedding coordination by performing the following duties.
Responsibilities:
- Promote and portray the VIVÂMEE Values.
- Manage all weddings onsite at Renault from after the booking phase is complete by the Wedding Sales Team to the full day of wedding execution.
- Answer all questions from couples leading up to their wedding date via email including but not limited to answering questions on: vendor recommendations, hotel room blocks, onsite amenities etc.
- Coordinate all details leading up to and including the day of event including planning of wedding timeline, vendor load-in/out and vendor requirements (table needs, vendor meals etc.), floorplan creation, final menu adjustments and enhancements, ceremony details and more.
- Upsell and manage ordering all rental enhancements and upgrades including but not limited to linen, plateware, flatware, glassware, and charger upgrades.
- Schedule and confirm selections for all wedding tasting events with Director of Catering and Catering Manager.
- Host (6) six month planning meeting with couple to review overall wedding vision and select package upgrades.
- Host final walk thru and planning meeting with couples 60 days out from wedding date to review and confirm all final wedding details.
- Update BEO documents created by Wedding Sales Managers on CRM software to include new requests from the couple including rental and menu enhancements and upgrades.
- Prepare final BEO’s and Floorplan for distribution to the Catering Team. Communicate and confirm any event changes with the appropriate staff.
- Works as a strong team with the Sales Managers to ensure a smooth transition and planning process for all couples booking at Renault.
- Works closely with Director of Catering and Catering Manager to ensure a smooth day of execution of clients wishes as they relate to food and beverage.
- Be onsite for all weddings you are responsible for managing from start to finish, acting as the lead for the wedding, overseeing that the couples’ vision and wishes are executed at a high level.
- Oversee day of Wedding Venue Assistant who will be onsite to assist Wedding Venue Coordinator with all set-up and breakdown of weddings.
- Attend regional bridal shows and networking events.
- Look out for the safety of our staff and guests.
- Ensure that our guests enjoy their stay with us.
- Must be able to lift at least 25 pounds.
- Must be very flexible with your schedule - regular weekend work required.
- Participate in weekly Group Impact Meetings, addressing issues and concerns for stakeholder groups relative to the wedding segment.
Requirements
- Bachelor’s degree preferred
- Minimum of 2 years of event experience preferred
