Position Overview: As an Assistant Property Manager with Administrative Responsibilities, you will play a pivotal role in ensuring the smooth operation of our managed properties while also providing essential administrative support. You will collaborate closely with the Property Manager to oversee various property-related tasks and handle administrative duties that contribute to the efficient functioning of our office.
Key Responsibilities:
Property Management:
- Manage vacancies through responding to tenant inquiries, scheduling showings, prepare leases, prepare lease renewals and oversee the full cycle from vacancy to occupancy
- Manage tenant ledgers to ensure the timely payment of rents, invoice tenant for maintenance and water bills and other charges as needed. Pay water bills and maintenance charges on behalf of owners, balance accounts monthly.
- Maintain vendor network and relationships, continuing to add additional vendors as needed
- Coordinates and manages all facets of tenant move-in and move-outs including processing applications to ensure smooth processes
- Managing delinquencies, evictions, tenant hold overs
- Manage all maintenance work orders from tenants and owners, including getting quotes, scheduling work and ensuring it is completed in a timely manner
- Monthly owner disbursements, owner statements and owner inquiries
- Working closely with the Property Manager to ensure customer service and revenue targets are met.
Administrative Tasks:
- Manage office communications, including emails, phone calls, and mail.
- Maintain organized and up-to-date electronic property files and records.
- Prepare reports, spreadsheets, and presentations as required.
- Assist with budget tracking and financial record-keeping.
This position requires someone who has strong computer skills, is able to take initiative, is well organized, detail-oriented, and can deliver a 5 Star experience to our owners and tenants.

Qualifications:
- Proven experience in property management or related field is a plus.
- Strong organizational skills with an eye for detail and accuracy.
- Excellent communication abilities, both written and verbal.
- Proficiency in office software (Microsoft Office Suite, property management software, etc.). Appfolio Experience is a plus!
- Ability to multitask and prioritize effectively in a dynamic & fast paced environment.
- Customer-focused attitude and problem-solving skills.
- Knowledge of real estate regulations and leasing procedures is advantageous.
Job Type: Full-time
Pay: $48,000.00 - $52,000.00 per year
