Location: Central Scottsdale Surgery Center – Scottsdale, AZ
Employment Type: Full-Time
Work Schedule: Monday – Friday, 7:30 AM – 4:00 PM
Job Summary:
This position requires a highly organized and detail-oriented person to manage patient coordination, medical records, scheduling, and administrative support. This role is essential in ensuring a seamless patient experience while maintaining compliance with all medical documentation requirements. Must possess strong communication skills, the ability to multitask, and a patient-centered approach.
Key Responsibilities: include but are not limited to the following. Other duties may be assigned.
Medical Records Management:
· Track operative reports for completion once RNs have sent them to the physician.
· Monitor pathology reports to ensure they are signed, sent to the referring physician’s office, and properly scanned into patient charts.
· Scan medical records, including preoperative and postoperative calls, labs, EKGs, home sleep tests (HST), clearances, and all required documents into HST.
Patient Registration & Liaison Duties:
· Call patients the day before surgery to confirm surgical procedure times and review necessary information.
· Greet and check in patients upon arrival, ensuring all required paperwork is completed.
· Create and organize patient charts for upcoming surgeries.
· Field incoming phone calls, providing accurate information and assistance as needed.
· Serve as the primary contact for patients before, during, and after their surgical experience.
· Address patient inquiries, concerns, and special requests in a timely manner.
Surgical Scheduling & Coordination:
· Schedule surgical procedures and coordinate with physician offices.
· Ensure all necessary preoperative documentation is received, scanned, and placed in patient charts.
· Manage and optimize the surgery schedule for efficiency and effectiveness.
· Maintain strong relationships with physician offices to facilitate scheduling and increase case volume.
· Coordinate anesthesia and confirming providers weekly
· Collecting/Verifying patient payments prior to surgery
· Stocking and cleaning of the check-in area daily.
Ordering & Inventory Management:
· Order and maintain office supplies to ensure smooth daily operations.
· Arrange catering services for meetings and events as needed.
· Manage and restock food for the break room and sanctuary.
· Ensure scrubs are ordered and available for staff use.
Qualifications:
· Education: High school diploma or equivalent required
· Experience: 1-2 years of experience in a medical office, ambulatory surgery center, or healthcare setting preferred. Experience with medical records, scheduling, and patient coordination is a plus.
Skills & Competencies:
o Strong attention to detail and ability to multitask in a fast-paced environment.
o Excellent verbal and written communication skills.
o Proficiency in electronic medical records (EMR) systems and scheduling software.
o Ability to work collaboratively with clinical and administrative teams.

Rate of Pay: DOE
