The Compliance & Operations Administrator is responsible for providing executive administrative support while ensuring that TSG Behavioral Health & Community Services remains in full compliance with Medicaid regulations, MCO guidelines, service definitions, and documentation standards. This role is critical in preventing compliance violations, reducing risk, and ensuring all operational and executive functions run smoothly.

This position requires a highly organized, detail-oriented professional who can multitask, manage executive-level administrative tasks, supervise staff, conduct site visits, review documentation, manage audits, and oversee compliance processes. This role involves monitoring service utilization, conducting mystery audits to prevent fraud, waste, and abuse, reviewing phone calls for compliance, and implementing corrective actions before issues escalate. The goal is to keep the company in full compliance, prevent legal risks, and proactively address operational challenges while identifying operational inefficiencies, waste, and unnecessary roles.

Key Responsibilities :

1. Executive Administrative Support & Document Management :

  • Manage all executive paperwork, including contracts, formation documents, and compliance records.
  • Ensure all documents are properly filed and easily accessible when needed.
  • Assist the Agency Director / CEO in tracking compliance-related issues and operational improvements.
  • Prepare weekly and monthly compliance reports outlining key risks, corrective actions, and service utilization trends.
  • Maintain confidentiality of sensitive information related to compliance, audits, and employee records.
  • Provide administrative support to executive leadership , including scheduling meetings and coordinating documentation.

2. Compliance Checklist for Documentation Review :

  • Verify that all required documentation is complete, accurate, and compliant with Medicaid and MCO standards.
  • Ensure that treatment plans, CCAs, and progress notes align with the client's authorized services.
  • Confirm that billing codes, service locations, and provider credentials meet compliance requirements.
  • Conduct randomized documentation audits to proactively identify compliance risks.
  • 3. Performance Evaluation Metrics for Accuracy & Efficiency :

  • Documentation Accuracy : Maintain a 98% compliance rate in documentation review.
  • Fraud Prevention : Identify and report any signs of fraudulent activity, waste, or abuse.
  • Training Effectiveness : Measure the completion rates and effectiveness of compliance training for new employees.
  • Site Visits & Audits : Ensure that all required program monitoring visits are completed per agency policy.
  • Timeliness in Reviews : Maintain a 24-hour turnaround for reviewing compliance documentation.
  • Efficiency Tracking : Identify and propose solutions to eliminate redundant roles and high labor costs.
  • 4. Post-Payment Reviews & Audit Management :

  • Manage all payer-initiated audits & post-payment review requests, ensuring accurate and timely documentation submission.
  • Perform internal compliance audits of client files, billing records, and service documentation to proactively identify risks.
  • Maintain compliance tracking logs for repeat violations and enforce corrective actions.
  • Conduct regular file reviews to ensure documentation accuracy and compliance with Medicaid regulations.
  • 5. Corrective Action & Compliance Enforcement :

  • Implement weekly documentation correction meetings to prevent recurring compliance issues.
  • Work with supervisors to enforce corrective action plans when compliance violations occur.
  • Maintain records of compliance errors, corrective actions, and process improvements to support quality control efforts.
  • 6. Work Schedule & Compensation :

  • Schedule : Monday - Thursday, 10 : 30 AM - 5 : 00 PM, Friday (Optional)
  • Compensation : $20- 22 per hour, with tiered pay increases based on performance :
  • After 6 months : Eligible for an increase based on compliance accuracy and efficiency.

  • After 1 year : Additional increase if compliance benchmarks are consistently met.
  • Annual performance review to determine additional raises based on audit accuracy, risk mitigation, and efficiency improvements.
  • Incentives for Accuracy & Efficiency :
  • Quarterly bonuses for maintaining a 98% accuracy rate in compliance audits.

  • Quarterly bonuses for identifying and eliminating wasteful spending or reducing high labor costs.
  • Capped mileage reimbursement per company policy.
  • Company-provided phone and laptop for work-related duties.
  • Travel required for on-site audits, program monitoring, and executive meetings.
  • Flexible work hours but must be available for compliance reviews, audits, and executive support needs.
