Key Responsibilities :
The Office Administrator serves as the nerve center of our agency, ensuring smooth operations across all departments and providing administrative support to employees and direct support staff. This role is responsible for file management, compliance, credentialing, staff oversight, and coordination with community resources.
Compliance & Documentation Management :
Maintain accurate and organized client records, agency files, and HR documentation to ensure compliance with state laws and regulatory requirements.Ensure physical and online systems contain up-to-date and correct information, following all state and agency policies.Track and monitor authorization timeframes to ensure timely processing and renewals.Handle record requests and ensure timely processing in accordance with regulations.Leadership & Personnel Management :
Oversee temporary staff and remote support team members , ensuring efficiency and quality of work.Manage staff scheduling, time sheets, and attendance approvals for accurate payroll processing.Oversee employee onboarding , ensuring new hires receive proper orientation and training.Monitor staff training compliance and ensure all required certifications and trainings are completed within required timeframes.Assist in recruitment efforts, conducting interviews and recommending candidates for hire.Ensure front office coverage and provide support as needed.Administrative Operations :
Act as the first point of contact for incoming calls, ensuring inquiries are handled professionally.Provide support to direct support staff , ensuring they have the administrative resources needed to perform their roles effectively.Assist with community resource coordination , helping clients connect with needed services.Support all channels of the company by assisting in building and maintaining community partnerships .Credentialing & MCO Coordination :
Manage credentialing processes with Managed Care Organizations (MCOs).Handle all MCO-related issues , ensuring smooth authorization and reimbursement processes.Maintain up-to-date knowledge of payer source requirements, industry regulations, and compliance standards .Communication & Team Collaboration :
Maintain open, effective communication between clients, staff, and leadership.Relay important updates to clinicians and administrative staff as needed.Contribute to team meetings and a positive work environment.Behavioral Health Knowledge & Professionalism :
Demonstrate a strong understanding of behavioral health principles and client needs.Stay informed about industry updates, regulations, and best practices .Maintain confidentiality and professionalism in all interactions.Qualifications :
High school diploma required; Associate’s or Bachelor’s degree preferred.Minimum of 1 year experience in an administrative role (behavioral health or healthcare setting preferred).Strong organizational and time management skills .Proficiency in Microsoft Office (Word, Excel, Outlook, and scheduling software) .Excellent verbal and written communication skills .Ability to handle high call volumes and multitask efficiently .Experience with credentialing and working with MCOs is a plus.What We Offer :
