The Ship Group Services is dedicated to providing high-quality behavioral health support and community services. We are seeking a Program Supervisor for Outpatient Therapy / Qualified Professional to lead our Outpatient Therapy Program.
This role focuses on ensuring the quality and compliance of clinical documentation , managing therapist performance , and facilitating ongoing training, coaching, and supervision to improve clinical outcomes. The primary responsibility of this role is to review therapist documentation for compliance with NC DHHS service definitions , ensure timely and accurate submission of required documentation , and support therapists through training, coaching, and compliance monitoring .
Additionally, the Program Supervisor will work closely with the Clinical Director and leadership team to resolve documentation issues, improve workflows, and ensure best practices are followed throughout the program.
Key Responsibilities
Clinical Documentation Management & Compliance
- Conduct weekly reviews of therapist documentation, including session notes, comprehensive clinical assessments (CCAs), treatment plans, and discharge summaries .
- Ensure documentation meets Medicaid and NC DHHS service definitions , agency standards, and medical necessity criteria
- Provide direct feedback and corrective guidance to therapists, coaching them on documentation accuracy, compliance, and efficiency .
- Track, monitor, and enforce documentation timelines , ensuring that required notes and assessments are submitted on time.
- Identify trends in documentation errors and implement training solutions to improve therapist compliance.
Therapist Supervision, Coaching, & Support
Oversee therapist performance and provide guidance on best practices for documentation and service delivery.Coach and train therapists on improving clinical note-writing, compliance, and treatment planning.Serve as the primary point of contact for therapists, addressing concerns, providing feedback, and supporting clinical decision-making.Conduct monthly clinical supervision for therapists, reviewing documentation quality, compliance, and client progress.Develop and implement training programs to help therapists improve clinical documentation, treatment planning, and Medicaid compliance.Refer therapists' non-documentation concerns (such as client eligibility, billing, or technology issues) to the appropriate department.Screening, Referrals, & Client Coordination
Screen clients for additional or alternative services to ensure they receive the most appropriate level of care.Refer clients to community-based services as needed to address behavioral health needs beyond outpatient therapy.Monitor caseloads to ensure clients receive appropriate, timely, and effective services .Coordinate with intake and administrative teams to ensure clients are assigned to the right therapists based on their needs.Payment Approvals & Billing Compliance
Review and approve therapist payments based on accurate and compliant documentation.Ensure billing accuracy by cross-referencing clinical notes with Medicaid requirements.Work with the administrative team to resolve billing issues related to incomplete or non-compliant documentationCollaboration, Communication, & Continuous Improvement
Work closely with the Clinical Director to ensure program-wide compliance with documentation standards.Act as a liaison between therapists, the administrative team, and leadership , ensuring smooth communication and problem resolution.Recommend and implement improvements to documentation workflows and quality control processes.Track documentation quality trends , identify areas of concern, and develop targeted training and coaching strategies to enhance therapist performance.Facilitate therapist training sessions on documentation best practices, Medicaid requirements, and compliance strategies.Qualifications
Required :
Bachelor’s or Master’s degree in Social Work, Counseling, Psychology, or a related field.Must meet the Qualified Professional (QP) requirements under 10A NCAC 27G .0104 :Master’s degree with at least one year of post-graduate experience, OR
Bachelor’s degree in a human services field with at least two years of post-bachelor's experience, ORBachelor’s degree in a non-human services field with four years of post-bachelor's experienceExperience in clinical documentation review , compliance auditing, or quality assurance in a behavioral health setting.Familiarity with Medicaid billing, clinical documentation standards, and service definitions .Proficiency in Electronic Health Record (EHR) systems and medical documentation formatting.Strong organizational skills, attention to detail, and ability to manage multiple priorities .Experience coaching and training therapists to improve clinical documentation quality.Preferred :
Experience in clinical supervision and therapist training.Certification in Healthcare Quality, Compliance, or a related credential.Previous experience working in remote behavioral health programs.Mandatory Requirements :
Must attend and assist with remote weekly meetings.Must provide supervision, feedback, and coaching to therapists on an ongoing basis.Compensation & Benefits
