Resort Management, a premier full-service condominium and homeowner association management company, is seeking a is seeking a full-time Office Assistant for a luxury condominium HOA on Marco Island.
SUMMARY
The Office Assistant administers day-to-day office activities, maintains registration records and performs administrative duties to assist in the efficient management of the condominium building and Association assets, manages emergencies and leak communication and repair scheduling. The Office Assistant must handle all violations and fines from start to finish. The Office Assistant reports to the Property Manager. The Office Assistant must register condominium occupants, do data entry and maintain the current registration system for accurate building occupancy. Provide a welcome helpful attitude to residents or guests as they arrive or need assistance. Must possess advanced people skills and have a positive mental attitude. The Office Assistant shall be familiar with the rules that govern the South Seas Northwest Condominium Association.
DUTIES and RESPONSIBILITIES
Examples of the Office Assistant’s maintenance duties include, but are not limited to, the following:
OFFICE
Work Saturdays if needed.
Take appropriate action on any resident’s requests and concerns.
Handle leaks and owner contacts for emergencies, arrange for leak inspections and give updates on cleanup process, coordinate with owners and agencies to best schedule repairs
Email ownership regarding projects and updates.
Control access to the building and ensure that appropriate admission procedures are followed. Maintain a record of all visitors, contractors, service people, and others who enter the building.
Control all condominium keys (unit keys, storage keys, etc.) and maintain an accurate record of all persons having such keys.
Maintain bulletin boards for the convenience, information and use of residents and the Association. Prevent bulletin board use by outside advertisers.
Maintain an up-to-date assigned parking list.
Violations – send out violation notices, update board, send out fines, assure fines are added to accounts, communicate with the fines committee, arrange for meetings and violation reviews.
Keep keys on file for the vehicles stored in garage, unit entry doors and storage closets.
Maintain an up-to-date log of all occupants, including owners, visitors, renters and guests, and enforce the registration procedure.
Provide constant communication with owners on Association business, building issues and events, etc., by posting notices and flyers on bulletin boards and in elevators.
Keep the SSNW website updated and make sure communications are monitored.
REGISTRATION/BUILDING SECURITY
Process registration cards daily, making sure complete information is obtained and on file from all occupants.
Inform the registrant in a friendly and tactful manner, where he may or may not park, give him/her a copy of the House Rules, and make sure that he/she understands and agrees to abide by them.
Emphasize House Rules as they govern the pool area.
Pay particular attention to the number of people in the party.
Keep accurate records of all building keys distributed and manage key/FOB deposits.
Ensure that non-owner registrants understand that no pets are allowed.
MISCELLANEOUS
Relay messages to Property Manager.
Supervise regarding problems and opportunities as they occur.
Assist Manager as required on any special projects and activities and perform any other job-related duties which may from time to time be specified by the Board.
Maintain a receptive attitude to changes in work schedule as may be required by the Manager. Special work assignments may be assigned as necessary.
Manage the security of the office by keeping the office door, cabinets and file drawers locked when the office is unoccupied.
Ensure that no unauthorized person(s), including Unit Owners, are allowed in the office or have use of the office machines or supplies.
Ensure that the office is always in neat and orderly fashion.
Office hours are Monday through Friday 8:00am to 4:00pm
