Job Description
The Administrative Assistant will be responsible for assisting the Human Resources team. This position includes the overall responsibility for all administrative tasks, including but not limited to, answering the telephone in a professional and timely manner and ensuring all callers are connected to the requested or correct parties. Demonstrates and provides outstanding customer and employee relations by receiving all visitors into the HR office in a polite, courteous, and friendly manner. Performs various administrative duties including, but not limited to word processing, filing, copying, mail distribution, and posting.
Essential Duties
- Handle advanced word processing and clerical duties.
- Answers HR reception desk phone and connects calls in a polite, courteous, friendly and efficient manner
- Sends, receives, and distributes mail.
- Attends periodic meetings and training sessions.
- Calendar management with the ability to anticipate calendar conflicts and manage last-minute changes.
- Assist with HR related responsibilities including recruitment, training, and employee-related events, etc.
- Assist in planning and organizing large meetings and events, involving both internal staff and external business partners.
- Prepare and process expense reports.
- Oversee new hire setup, technology needs, and department supply inventory.
- Assist in departmental projects, acting as a project manager to ensure tasks are completed in a timely manner.
- Receive, sort, and route mail, e-mail, and voice messages accurately and efficiently to appropriate parties.
- Perform general admin duties including typing, filing, copying, faxing, mailing, etc.
- Order, maintain, and restock inventory of office supplies and beverages.
- Maintain multi-faceted filing system, tracking the receipt and review of invoices, binders, policies, and other important documents.
- Other duties and projects as assigned.
Job Requirements
Physical and Mental
Ability to sit for extended periods of time. Ability to take direction well. Ability to stand, stoops, bend, reach and walk. Ability to lift 20 lbs. Ability to understand and communicate in the English language. Ability to follow directions.
Work/Educational Experience
- Must be at least 18 years old, possess a high school or equivalent diploma and have the ability to obtain the appropriate license pursuant to the New York State Lottery regulations.
- One (1) years’ related executive administrative work experience.
- Must be proficient in Microsoft Office
- Must have the ability to type 60 WPM
