Job Summary:
The Assistant Property Manager - Central Office plays a crucial role in supporting the smooth operation of our central office and the properties we manage. This position blends office management, agent management, leasing, resident relations, and administrative tasks to ensure efficient operations and resident satisfaction.
Key Responsibilities:
Office Management:
- Oversee day-to-day office operations, including vendor management, coordinating maintenance and repairs, and managing office workflow and procedures.
- Support leasing staff, executive staff, tenants, property owners, and vendors.
- Manage projects, including optimizing our property management software platform for seamless operation.
- Revamp and streamline reports, procedures and record-keeping processes to maximize efficiency for a rapidly growing company.
Leasing & Resident Relations:
- Actively train and manage a team of leasing agents and front office staff with the skills necessary to thrive in a fast-paced office with over 600 doors.
- Oversee the leasing and sales process, ensuring agents are engaging with potential residents through various channels (in-person, phone, online) as well as conducting property tours, highlighting unique features and benefits.
- Streamline marketing to boost and maintain occupancy and renewals.
- Liaise between staff and executive team to communicate policies and procedures.
- Process applications, verify income and credit, and adhere to Fair Housing guidelines.
- Assist team with closing leases and collecting necessary documentation.
- Build strong relationships with current residents.
- Address resident concerns and maintenance requests promptly and efficiently.
- Organize and host community events to foster a sense of belonging.
- Maintain accurate and up-to-date resident records.
Financial & Administrative:
- Maintain accurate financial records, delinquencies, move-out inspections, and evictions.
- Utilize property management software to track key metrics and generate reports.
- Assist with budgets, projections, and interface with property owners monthly.
- Prepare correspondence, reports, and presentations.
- Oversee the preparation of lease paperwork and other necessary documentation.
Qualifications:
- 2 years of experience as a Property Manager or Assistant Property Manager required.
- Bilingual (Spanish) is a plus.
- CAM or Real Estate License preferred.
- Strong organizational, time management, communication (verbal and written), interpersonal, follow-up, and project management skills are essential.
- Proficiency in Microsoft Office Suite, Google Suite, property management software, and social media platforms.
- Proven experience in property management, office management and similar administrative roles.
- Real estate, sales, or legal experience a plus.
- Ability to work independently and as part of a team.
- Strong problem-solving and decision-making skills.
- Ability to handle multiple tasks and prioritize effectively.
- A positive, can-do attitude and a drive for excellence.
- Ability to work a flexible schedule, including evenings and weekends as needed.
