Position Overview: We are seeking a highly organized and detail-oriented Events and Internal Operations Coordinator to join our team. This role is responsible for assisting in planning, coordinating, and executing events that align with our organization's goals. The ideal candidate will have strong project management skills, excellent communication abilities, and the ability to manage multiple tasks in a fast-paced environment. Attention to detail and delivering exceptional work products is vital. This role will interact with RBA Member Companies and internal & external stakeholders.
Primary Duties and Responsibilities:
- Assist in planning and coordinating company events, including meetings, conferences, and social gatherings.
- Support event marketing efforts, including invitations, social media promotion, and email communication.
- Assist in managing event registrations and guest lists.
- Provide on-site support during events to ensure smooth operations.
- Gather feedback from attendees and help improve future events
- Manage the ordering of office supplies.
- Administer building key fobs and parking passes for new hires.
- Responsible for general administrative duties including data-entry, responding to inquiries and/or questions for future meetings.
- Track/file purchase requests, vendor agreements and invoices.
- Maintain the event calendar up to date.
- Assist with special projects and other general office tasks as needed.
- Provide membership support, including handling inquiries, processing enrollments and renewals, troubleshooting account issues, and ensuring a positive member experience.
Required Experience, Knowledge, Skills and Abilities:
- Minimum of 2 years professional experience demonstrating a passion for events/meeting planning, organization, and project management.
- Bachelor's Degree or equivalent experience
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Ability and desire to learn additional computer programs or web-based applications
- Familiarity with Webex, Zoom, and/or Swoogo a plus
- Strong organizational skills to handle multiple activities with competing priorities
- Attention to detail and ability
- Able to establish and meet schedules and deadlines
- Excellent interpersonal, verbal, and written communication skills
- History of working well in team/group setting
- Able to work independently with a minimum of guidance and take the initiative when tasks or a process needs to be completed or created
Desired Experience, Knowledge, Skills and Abilities:
- Trade association or non-profit organization experience
- Experience independently owning full event life cycle from preplanning (site-visits) to execution (onsite leadership)
