We are seeking a dedicated Payroll Specialist who will be integral to our Human Resources department. This role demands a high level of precision and expertise in processing and managing payroll for over 500 employees across multiple states. The Payroll Specialist will ensure accurate and timely payroll operations, compliance with tax laws, and effective management of employee data. This position is crucial for maintaining the integrity of payroll operations and providing reliable payroll information and support to our employees. As a key member of our team, the Payroll Specialist will not only handle routine payroll tasks but also respond to payroll-related queries and participate in audits, ensuring seamless payroll transactions and fostering a trustworthy payroll environment.

What You Will Be Doing

Payroll Processing

  • Conduct full-cycle, bi-weekly payroll processing for over 500 employees, ensuring accuracy and timeliness.
  • Manage payroll transactions including pay adjustments, bonuses, commissions, garnishments, reimbursements, and deductions.
  • Oversee updates related to new hires, terminations, and pay rate changes to ensure accurate payroll execution.
  • Audit and verify time cards, time off requests, and other pre-processing items; liaise with management for pending approvals.
  • Import and process commission, bonus, and other pay files into the HRIS system.
  • Address and rectify payroll discrepancies and errors in accordance with company policies.
  • Independently resolve critical payroll issues and support various payroll-related inquiries.
  • Collaborate with the accounting and finance teams to provide commentary on flux and trends
  • Participate in audits for 401k, Workers Compensation, and general audit

Tax Management

  • Ensure compliance with federal, state, and local payroll tax regulations.
  • Handle registrations with tax authorities in various states.
  • Coordinate with third-party vendors for tax filings and documentations, including W-2 processing.
  • Reconcile quarterly tax returns and manage fringe benefits calculations for tax purposes.

Timecard & Leave Management

  • Monitor and ensure accurate tracking and management of employee timecards and leave records.
  • Implement and oversee systems for tracking employee attendance, overtime, and leave balances.
  • Coordinate with department managers to ensure timely approval and processing of time off requests.
  • Audit leave records to ensure compliance with organizational policies and federal and state regulations.
  • Provide guidance and support to employees on leave entitlements and usage, including FMLA, vacation, and sick leave.
  • Develop and refine leave policies to enhance employee understanding and compliance.
  • Troubleshoot and resolve discrepancies in timecard entries and leave records in a timely manner.

Employee Support & Payroll Training

  • Act as the primary point of contact for employee inquiries regarding payroll.
  • Educate employees and managers on payroll procedures, company policies, and the usage of payroll systems.
  • Develop and maintain documentation on payroll processes and standard operating procedures (SOPs).
  • Conduct HR training sessions to enhance understanding of payroll operations.
  • Act as point person for employer response to internal and external audits related to employees, payroll and/or benefits (i.e., Workers’ Compensation audit, payroll SOPs, unemployment claims, etc.)

Payroll Reporting & Analytics

  • Maintain and prepare accurate payroll records and reports.
  • Analyze payroll data to identify trends and recommend process improvements.
  • Compile reports for internal departments like Accounting and Finance, ensuring the integrity and confidentiality of payroll data.

Payroll Compliance

  • Maintain up-to-date knowledge of payroll laws, tax regulations, and leave policies across multiple states.
  • Maintain compliance with labor laws related to overtime, minimum wage, and family medical leave.
  • Ensure accurate recordkeeping for compliance with federal and state regulations.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • 2 years of full-cycle, multi-state payroll processing experience
  • Demonstrated understanding of US payroll compliance and taxes
  • Experience with HR systems, Rippling preferred
  • Excellent attention to detail and accuracy in data entry and analysis.
  • Solid understanding of HR employment labor laws and HR policies, procedures, and best practices.
  • Strong organizational and time management skills, including the ability to multi-task and set priorities in a fast paced environment.
  • Ability to effectively communicate complex information to employees and managers.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to create and foster relationships with both employees and leadership.
  • Ability to maintain a high level of confidentiality regarding sensitive information.
  • Strong understanding of accounting principles and payroll best practices.
  • Proficiency in Spanish is highly valued but not required.
  • While this position is open to candidates in FL, SC, NC, AZ, NE, IN, VA, GA and PA, preference will be given to applicants residing in Austin, TX or Denver, CO.

Employment Eligibility Requirements

  • Applicants will be required to pass a background check and reference check prior to their first day to verify their employment eligibility. For finance focused positions a credit check may also be required.
  • We operate in the following states: Alabama, Arizona, Colorado, Florida, Georgia, Indiana, Iowa, Nebraska, North Carolina, South Carolina, Tennessee, and Texas. At this time, we will only hire people who live in or will relocate to those states.
