Job Summary:
Rest Haven Funeral Home in Rockwall is seeking a compassionate, detail-oriented Funeral Administrative Assistant to support our team in providing exceptional service to families during their time of need. This role plays a vital part in the day-to-day operations of the funeral home, offering both administrative support and direct assistance with service preparations.
Key Responsibilities:
- Assist funeral directors with family arrangements, including creating obituaries, service folders, bookmarks, register books, and other service materials.
- Manage online content, including website obituaries, testimonials, and form submissions.
- Scan and edit photos for use in memorial products and on the website.
- Prepare tribute videos for memorial services.
- Maintain clear communication with all staff regarding current and pending families.
- Track inventory and reorder supplies needed for services, arrangement meetings, and office functions (e.g., envelopes, folders, price lists, stationery, etc.).
- Organize, scan, and maintain funeral files and legal documentation in accordance with file checklists.
- Answer incoming phone calls and direct them appropriately.
- Serve as backup receptionist, welcoming guests and guiding them to service areas and arrangement rooms.
- Perform basic bookkeeping and assist with financial recordkeeping as needed.
Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred
- Prior administrative or customer service experience, preferably in a funeral home or similar environment
- Strong work ethic and self-starter with excellent time management skills
- Must be able to listen and manage difficult or emotional client situations and respond promptly to client needs
- Must be very detail-oriented and possess the ability to multi-task successfully
- Strong computer skills, including proficiency in Microsoft Office Suite, Canva, and basic photo editing software
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and professionalism in a sensitive environment
- Compassionate, respectful, and service-minded attitude
- Strong organizational skills and attention to detail
Physical Demands:
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; talk and hear; stand; sit; and walk. In addition, the employee must regularly lift and/or move up to 20 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
