What are the responsibilities and job description for the Community Events and Volunteer Assistant position at Reston Association?
Purpose: The Community Events and Volunteer Assistant is responsible for the year-round research, planning, implementation and evaluation of community events and volunteer programs of the Association. The position collaborates with multiple department managers on volunteer events, community events and organizational events. Works under the general supervision of the Community Events Supervisor. This position works 30-40 hours per week based on the event schedule.
Essential Duties and Responsibilities:
1. Research, develops, coordinates, and implements events and volunteer opportunities for children, adults, families, and other special interest groups for the community.
2. Prepares materials including brochures, flyers, online materials, and online materials in coordination with the Communications Department on marketing for program
& volunteer events.
3. Communicates with the public and internal staff on items related to programs and volunteer opportunities, providing excellent customer service throughout the process.
4. Assist with volunteer event planning, implementation, and evaluation to include the annual recognition of volunteers.
5. Work in RA’s recreation management software program to maintain data, process sales and refunds, reserve facilities, register patrons and run reports.
6. Purchases program supplies and maintains inventory of supplies and equipment in accordance with procedures.
7. Provide input for the preparation of the annual budget, including monitoring expenditures to ensure compliance with the budget, purchasing equipment and supplies
and maintaining appropriate records and inventory.
8. Coordination of event vendor needs.
9. Participates in meetings, conferences and training as required.
10. Assist in the recruitment of potential sponsorships for events.
11. Ability to maintain reliable attendance and abide by established policies and procedures.
12. Performs other duties and responsibilities as assigned.
Supervisory Responsibilities: This position has no supervisory responsibilities.

Education and Experience – High School Diploma plus one year events coordination experience, or equivalent combination of education and experience
Computer Skills - To perform this job successfully, an individual should be proficient in the use of Microsoft Office applications.
Other Skills and Abilities – Strong planning & organizational skills; effective communication skills; detail-oriented, well organized and able to meet deadlines. Ability to multi-task in fast-paced environment; must be able to work as part of a team and with limited supervision; must have a positive, creative attitude; experience working with volunteers and organizing community events preferred; must understand RA’s mission and vision and be committed to working with a diverse population.
Other Qualifications - Must possess a valid driver’s license and good driving record. Must be at least 18 years old. Must be able to work occasional evenings and weekends.

Tools, Equipment & Machines Used: Requires continuous use of a personal computer, printer, general office equipment and company vehicle.
Contacts: Frequent contact with Association Members and other visitors for the purpose of providing or exchanging information.
