Key Responsibilities:
- Provide top-notch administrative support to management.
- Coordinate inspections, mitigation, and repair schedules.
- Manage and maintain accurate customer data and job files.
- Communicate with customers to ensure satisfaction and address inquiries.
- Collaborate with subcontractors, project managers, and technicians for seamless project execution.
- Assist in creating marketing materials and managing social media content.
- Organize office supplies, maintain documentation, and update project notes.
- Support team efforts by performing other duties as assigned by the manager.
Qualifications – Knowledge, Skills, and Abilities:
- Education and Experience:
- High school diploma (or GED) is required.
- Minimum of 3-5 years of office experience.
- Mathematical Skills:
- Adequate math skills to compute ratios, percentages, and analyze performance data.
- Computer Skills:
- Proficiency in Google Suite and Microsoft 365.
- Ability to learn and use enterprise software for tracking customer information, scheduling, and job profitability.
- Communication Skills:
- Exceptional oral communication to engage with customers effectively, including calming excited clients and problem-solving.
- Strong written communication skills to create clear, concise, and accurate correspondence.
- Planning and Organizing:
- Ability to efficiently manage time, prioritize tasks, and handle multiple responsibilities.
- Process Orientation:
- Awareness of workflows and a mindset for continuous improvement.
- Certificates, Licenses, and Registration: None required.
Work Environment:
- Predominantly office-based with occasional exposure to shop environments.
- Quiet work atmosphere with occasional noise in equipment maintenance areas.
Physical Demands:
- Regularly required to sit, use hands, and communicate clearly.
