This position is crucial in maintaining a productive and harmonious work environment while supporting our mission of sustainability and excellence.
Responsibilities
- Provide comprehensive administrative support to the executive team, senior management, and various departments.
- Manage day-to-day administrative tasks, including filing, record-keeping, and correspondence.
- Aid with meeting coordination, scheduling, and other office-related duties.
- Ordering and overseeing inventory of office supplies.
- Coordinate travel planning, including booking flights, accommodations, and ground transportation.
- Ensure prompt submission of travel expense reports.
- Arrange luncheons, meetings, and other events.
- Coordinate catering, room setup, and organization.
- Manage the inventory of handheld radios used by staff.
- Ensure radios are charged, functional, and distributed to the proper team members.
- Coordinate repairs or replacements as needed.
- Manage documentation related to company vehicles, including truck titles and insurance.
- Ensure compliance with legal requirements and prompt renewals.
- Implement and keep protocols for cleaning and sanitizing PPE (such as hard hats, safety vests, ear plugs, glasses, etc.)
- Regularly inspect PPE for wear and tear, replacing items as necessary.
- Support other departments as needed.
- Previous office management experience preferred.
- Excellent verbal and written communication skills.
- Strong organizational abilities and attention to detail.
- Ability to multitask and adapt to changing priorities.
- Familiarity with basic office software (e.g., Microsoft Office Suite, SharePoint, etc.)
