RESTORE Center for Integrative Medicine is looking for an experienced, hardworking, caring, organized, and detail-oriented Administrative Assistant to join an integrated team at our innovative medical practice in Plano, Texas.
Integrative Medicine is an exciting new field that combines the best of traditional medicine with holistic therapies to heal and prevent disease. You will work in collaboration with an integrative team that includes an internal medicine physician, registered dietitian, licensed professional counselor, and acupuncturist.

Duties and Responsibilities:
- Welcoming of patients, family members, and visitors
- Help promote a positive healing experience for every patient by helping them to feel at ease in the physician’s office, answering their questions, and explaining procedures
- All regular front desk duties such as check-in, financial counseling, pre-authorizations, sending and organizing faxed records
- uploading patient medical records to the chart as they are received
- Answering telephone including patient calls, pharmacy phone calls and other external sources
- Sending referrals to specialists and following up whether patient has been scheduled and if documentation of visit was received
- Assisting other practitioners and practice manager with tasks as needed
- Proficiency with basic computer applications and electronic medical record software
- Help to maintain patient electronic medical records
- Scheduling of several different types of appointments including initial, follow-up, phone consults, and more for all 5 practitioners
- Support check out desk by explaining treatment recommendations and cost of services recommended, collecting payment for services, and creating superbills
- Handling correspondence, responding to third-party inquiries
- Keeping supplies ready by inventorying stock; placing orders, verifying receipt of supplies
- Documenting within the patient chart in accordance with policies and procedures regarding electronic medical records; implement and adhere to policies that ensure patient confidentiality.
- Maintaining safe, secure, and healthy work environment by following and enforcing standards and procedures; complying with legal regulations.
- Initiating patient phone calls and participating as needed in the implementation of new patient programs.
- Responding to patient messages via phone, email, and in the patient portal
- Responding to new patient inquiries via phone and email
- Help to maintain office policy and procedure manual which will continue to need updates
- Keep office clean and in order (light laundry when time permits)
Terms of employment:
- Hours Monday 9-6 pm with an hour for lunch. Opportunity for increasing hours worked based on candidate's performance and patient need.
Required Qualifications and Experience:
- High school degree/GED
- Must have a minimum of 1 years’ experience in a physician office
Interview process:
A minimum of 3 references must be presented at the time of interview. An initial video interview will be offered to qualified candidates followed by a face to face interview.
