The position of Practice Administrative Assistant is Full-time and benefited, working Monday-Friday at our Admin office in Vancouver, with moderate travel to RNW satellite clinics. Practice Administrative Assistant position overview: Perform administrative and selected secretarial duties and/or manage the affairs of the Board as well as the Practice Manager; Performs independent, experienced and professional administrative functions of a highly confidential nature; Execute work assignments which may be considered routine, up to very complex and involve establishing and maintaining working relationships with key members of the management team; Provide administrative accountability including research, data gathering, analysis, and presentation of findings in an executive format; Maintain minimum decision-making authority for a number of small projects and day-to-day operational matters on behalf of the Board and Practice Manager.
Knowledge, Skills, & Abilities: Screening, prioritization and handling of incoming emails and calls; Board meeting minute indexing, filing of policies and decisions; Write/rewrite policies and update while coordinating with IT regarding policy accessibility and storage; Maintains website content; Creates and maintains the employee schedule, weekly posting and updates as needed; Coordinates staff events and annual CPR training; Reviews company documentation and updates; policies and communications for proper grammar; Manages facility-related requests, supply ordering and interfaces with vendors; Manages / maintains physician files to include: licensing, malpractice, DEA, membership: AMA, AAO, OAO etc., physician schedule, out calendar; Customer Service – internal and external – referring offices, vendors, suppliers, contractors and other business associates of RNW; Welcomes and greets in a friendly professional manner, in person and over the phone; takes opportunities to assist patients, staff and provides excellent communication, keeping people informed, responding to messages in a timely manner, and asking if there is any further information; Adherence to the professional RNW Dress Code Policy at all times; Covers other positions as necessary. Provides backup for drug orders. Keeps current on practice changes; Analyze workload requirement and schedule appropriately; identifying and resolving problematic situations; respond calmly and effectively in deadline situations; organizational policies, procedures, and systems; basic knowledge of clinic office procedures; Microsoft Office, EMR/EPM and computer applications; excellent communication and problem-resolution skills; in planning and organizing; strong written and oral communication skills; interact with patients, public, medical and administrative staff effectively; flexible and can work in an environment of change while multitasking with tight deadlines and the ability to maintain a positive attitude and demeanor; speak concisely and communicate effectively via e-mail; establish and maintain courteous and professional working relationship with physicians, other staff and patients; work as a team member; effective project management; regular attendance.
