Executive Assistant Role
We are seeking a detail-oriented Executive Assistant to support the CEO of our small business. The successful candidate will be responsible for providing administrative support to the CEO, managing inquiries arising from CEO’s projects, and assisting the CEO with all facets of the sales process with a goal of closing more business. A background in sales would be valuable, as increasing sales is the CEO’s main focus.
The ideal candidate will have excellent organizational, communication, and multi-tasking skills. He or she must be able to successfully support the CEO through daily touch points - over the phone and in person. The Executive Assistant must also be able to successfully communicate with vendors and clients, who are hospital administration professionals. We are looking for an individual who is not afraid to pick up the phone and call to get the answers needed to keep projects moving in a fast paced environment. Professional email communication skills are also a must. He or she must be comfortable working and staying organized in multiple web-based software programs, as well as working on multiple projects in different stages at the same time.

Responsibilities:
- Efficiently complete sales proposals with a high level of attention to detail, along with other document preparation
- Obtain service quotes and shipping quotes from our network of vendors
- Reach out to potential clients about the details of their projects and arrange for next steps in the project
- Manage calendar for CEO. Arrange and set up meetings, ensuring that all necessary materials are prepared in advance.
- Add client names and projects to customer relationship management software, update project status in software, and complete other database updates as needed
- Upload files and photos to online systems and redistribute as needed
- Develop and maintain relationships with internal and external stakeholders
- Resolve issues with projects that may arise as projects are completed
- Handle confidential information and delicate situations with tact and maintaining confidentiality
- Perform minor accounting duties
Skills required: typing skills, organizational skills, be able to follow directions and complete projects unsupervised. Computer proficiency, web-based software proficiency, Microsoft Word and Google Suite. 3-6 years of experience working in an Executive Assistant, Office Manager, Administrative Assistant, Personal Assistant, or other similar role is a must. Four-year degree preferred.

Pay: $18.00 - $24.00 per hour
