Job Summary
The Accounts Payable Clerk is responsible for managing the payment process and controlling expenses by processing, verifying, and reconciling invoices. This role ensures accurate financial transactions, maintains records, and supports the organization's overall financial operations.
Key Responsibilities
- Process and reconcile invoices to ensure timely and accurate payments.
- Analyze expense reports, assign costs to proper accounts and cost centers, and record entries.
- Schedule and prepare vendor payments while monitoring discount opportunities and resolving discrepancies.
- Reconcile vendor accounts by reviewing monthly statements and related transactions.
- Communicate with vendors and resolve invoice discrepancies.
- Support month-end, quarter-end, and year-end closing activities.
- Respond to audit requests for documentation and internal activity verification.
- Calculate and report sales tax on paid invoices as required.
- Maintain accurate and organized financial records by scanning and filing documents.
- Ensure compliance with confidentiality requirements to protect organizational data.
- Participate in continuous improvement initiatives to enhance efficiency and accuracy.
- Adhere to company safety standards and quality requirements.
- Actively engage in team collaboration and support cross-departmental workflows as needed.
- Attend training programs to enhance job knowledge and skills.
- High school diploma or equivalent; relevant post-secondary education preferred.
- Minimum of 3-5 years of experience in accounts payable or related roles.
- Proficiency in financial software and Microsoft Office Suite, particularly Excel.
- Strong attention to detail with excellent organizational and analytical skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Effective communication and problem-solving skills.
- Not required, but preferred experience with Great Plains, SalesForce,
