The Executive Administrative Assistant and Client Specialist is a full-time, in-person role with Reveal Risk , and is perfect for someone who thrives on creating order, efficiency, and adding positive energy for a great customer and team experience. You will be a key player in streamlining our processes and logistics as we continue to grow. You will be a key logistical point of contact for both internal and external stakeholders, ensuring seamless communication and coordination. Your ability to remain calm under pressure and your helpful, charismatic demeanor will be essential in fostering positive relationships with our team members, leadership, and clients.
Key Responsibilities :
Leadership Support (~40% of working hours) :
- Act as the primary administrative liaison for four senior executives (one partner, three directors) - managing their calendars, scheduling meetings on their behalf, and coordinating their travel arrangements.
- Prepare and submit expense reports specific to client travel.
- Coordinate and participate in key leadership meetings helping to coordinate agendas, decisions, and action items.
Client Relationship Management (~25%) :
Serve as a key point of contact for clients, including scheduling meetings on behalf of executives and for key projects, ensuring a positive and professional experience.Coordinate employee and client onboarding-related resources and meeting scheduling. Champion continuous improvement in the onboarding process by leveraging input from after action reviews.Help organize and maintain client records (e.g., within O365 / SharePoint, HubSpot CRM, etc.).Assist with the preparation of client proposals and presentations (e.g., proofreading, content flow and approachability, enhancing visual appeal of slide decks).Coordinate logistics for workshops and events, both virtual and in-person in coordination with the marketing lead (e.g., ordering swag and print materials, working with event production vendors, coordinating venues / travel, etc.).Serve as a key coordinator for client billing-related documentation; occasionally, document and bill for own time involved with client projects.Project and Vendor Coordination (~25%) :
Support project teams with administrative tasks, such as scheduling meetings, preparing agendas, and taking minutes.Serve as logistics coordinator on tasks done in conjunction with external vendors.Assist with tracking project deadlines and deliverables aligned to milestones and payments in coordination with Accounts Payable department at fractional CFO firm.Office Administration (~10%) :
Manage office supplies and refreshments / snacks for the team.Look for opportunities to better organize documents and improve accessibility within our digital filing system.Proactively identify opportunities to improve office processes and procedures.Qualifications :
High school degree or GED equivalent; Associate’s degree or higher preferredProven experience as an Executive Assistant or in a similar administrative role.Exceptional organizational and time management skills with the ability to multitask effectively.Strong attention to detail and accuracy.Professional discretion for managing occasional access to staff and client confidential information (e.g., HR-related matters, client scheduling / contacts, etc.).Excellent communication and interpersonal skills, both written and verbal.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint.Ability to work independently and as part of a team.A proactive and solution-oriented mindset with a passion for simplifying processes.A calm and professional demeanor, especially under pressure.A genuine desire to help others and contribute to a positive work environment.Bonus Points :
