Wedding/Event Coordinator
Summary
Revere Golf Club is an experienced and highly organized wedding/event coordinator to join our team. We are looking for a candidate who is passionate about crafting unforgettable experiences. Responsibilities include planning, organizing, and executing weddings, parties, and other special events. The coordinator will collaborate closely with clients to understand their vision and preferences, and will oversee all aspects of the event, including wedding day-of coordination, vendor management, and ensuring the flawless execution of details outlined in the Banquet Event Order (BEO).
Essential Duties and Responsibilities:
§ Plan, organize, and coordinate the details of events prior to and throughout the event by communicating the clients’ specifications via Banquet Event Order (BEO).
§ Schedule planning meeting and tasting (when applicable) with the client to detail out all information in a BEO using TripleSeat and All Seated CRM.
§ Supply operations team with menu choices, timeline, vendor information, room setup & diagram, and any additional information via BEO.
§ Keep in contact with client throughout planning process to ensure that customers’ satisfaction is achieved, and communicate updates to each department upon these specifications
§ Assist the Director of Food & Beverage and Director of Sales to update price lists from preferred vendors.
§ Ensure proper billings for events is taken according to the deposit schedule agreed upon on the contract.
§ Interface with all other departmental managers to assure good communication and a seamless customer service experience.
§ Prepare and send out weekly BEO packet with upcoming 10 days of events. BEO is to include all finalized details discussed with the client and diagram of room layout. Any additional information or changes to the BEO after the packet has been distributed needs to be approved and communicated in person with the appropriate management for execution.
§ Communicate all Clubhouse closure in BEO packet. If a Clubhouse closure is changed (added or removed) last minute, all details must be discussed with the Director of Food and Beverage and General Manager. Then it is the responsibility of the Event Coordinator to communicate all information to the departments within 24 hours of the final decision.
§ Lead weekly BEO meeting.
§ Coordinate all aspects of the vendors at each event. This will include scheduling dates and times of the event, load in and strike times, client details, invoices, etc.
§ Maintain a positive rapport with vendors.
§ Provide excellent customer service and build positive relationships to all clients for all catered events.
§ Provide all events with basic décor setup (card box, escort cards, gift table, ceremony décor, favors, etc.)
§ Assist bride and bridal party day-of wedding.
§ Perform special projects and other responsibilities as assigned.
§ Administrative duties and other duties as assigned by immediate supervisor.
Qualifications
§ Bachelor's degree or certification in Food Management, Hospitality, Business Management or a related field preferred.
§ 3-5 years experience in the food service field as an event coordinator.
§ NV Food Handlers card. Must successfully obtain NV Food Handlers card within the probationary period.
§ TAM certification.
§ Demonstrated experience in effectively managing and directing the operations of large-scale catering events
§ Demonstrated experience in a customer service-orientated environment, meeting and exceeding client expectations and achieving sustained satisfaction.
§ Keen ability to focus attention to detail.
§ Experience working in CRM (Customer Relations Management) software.
§ Computer literate with proficiency in use of spreadsheets and word processing software.
