ReVive Orthopedics Spine & Sports Medicine is seeking a skilled Intake Coordinator to join our team.The Intake Coordinator is vital in supporting attorneys by managing the intake process and ensuring smooth case handling from initial client contact through closing. This position establishes rapport with potential clients, obtains necessary documentation, and maintains an organized case management system. The ideal candidate is compassionate, detail-oriented, and committed to providing exceptional service.
Key Responsibilities
Client Intake and Follow-Up:
- Promptly contact and follow up with potential clients via phone and email
- Collect all Authorization Letters of Protection (ALOP) and required paperwork
- Gather pertinent information through professional and empathetic client interactions
- Scrub schedules to ensure all ALOPs are received
- Confirm approvals for pre-appointments when needed
- Add and update client information in the firm’s case management system
- Support attorneys in opening new cases, declining cases, and maintaining organized case files
- Organize and maintain electronic case files and documentation
- Communicate effectively with attorneys, billing specialists, and funding companies
- Respond to emails in a timely manner and address client inquiries
- Schedule and coordinate attorney-client meetings as necessary
- Read and interpret medical records and reports
- Prepare files for transfer-related individual and bulk files to funding companies
- Create weekly claims for patient visits, medications, and Durable Medical Equipment (DME)
- Send procedure estimates and request funding for lien patients as required
- Prioritize daily tasks to meet deadlines in a high-volume environment
Education And Experience
- High school diploma or GED required; associate or bachelor’s degree preferred
- Minimum 2-3 years of experience in an executive support role within a high-volume environment
- Healthcare industry experience, including knowledge of insurance plans and coverage, is preferred
- Personal Injury case experience is a plus
- Strong attention to detail and accuracy.
- Exceptional communication and customer service skills
- Strong organizational and multitasking abilities
- Excellent critical thinking and problem-solving skills
- Knowledge of medical terminology, HIPAA regulations, and insurance processes
- Proficiency in Microsoft Office Suite and Electronic Medical Records (Athena)
- Ability to work independently and collaboratively in a fast-paced environment
