RG Heating & Air Conditioning is a residential and commercial HVAC company serving the greater Dane county area and is looking to hire an Office Administrator/Service Dispatcher to meet the needs of our growing customer and employee base.
Job Responsibilities Include:
- Oversee and support all administrative duties in the office and ensure that the office is operating efficiently and all customer service metrics are being achieved
- Review dispatch schedule for service department ensuring repairs, billing, and other follow-ups with the customers are being addressed
- Communicate with other Customer Service Representatives throughout the day to ensure service work is being scheduled properly
- Create and maintain positive relationships with vendors & suppliers.
- Collaborate with all staff to ensure business goals are being met or exceeded.
- Resolve customer issues in a prompt and courteous manner and maintain customer satisfaction
- Lead monthly Service Technician and Office Staff meetings
- Provide overflow support for the following tasks in periods of high demand: Inbound and outbound calling, scheduling service calls on the company dispatching board, scheduling repairs and follow-up visits, ordering parts and supplies, other general office and administrative tasks
Skills & Requirements:
- 5 years of professional experience or prior office, management, or dispatching experience
- Strong computer skills and basic knowledge of Microsoft Office applications (Outlook, Excel, Word) and Quickbooks.
- Exceptional communication skills both verbal and written
- Efficient with computer and phone systems
- Ability to multi-task
- Strong organizational skills
- Thrive in a fast pace environment
