POSITION: Secretary, Building Level

SALARY/BENEFITS/DAYS: Hourly, 210 days, Full-Time Benefited Position for 25/26 SY with a period of cross training for a period of time during the 24/25 school year that is to be determined.
SUMMARY: Serves as secretary to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping and building permits.
EDUCATION/LICENSE/EXPERIENCE REQUIREMENTS:
- High school diploma or general education degree (GED)
- Possess strong leadership, communication, and organizational skills
- Possess excellent secretarial skills.
- Such additional qualifications as the Board or the State of Indiana shall require
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties as assigned.
Supervise, manage and train office staff and aides using various equipment.- Serve as the personal secretary to principal and assistant principal.
- Schedule and maintain the building calendar.
- Assist with attendance clerk duties.
- Makes and receives telephone calls, takes messages, and routes calls.
- Greet and direct all parents, sales representatives, fundraisers and visitors to various offices.
- Maintain student data records.
- Maintain absolute confidentiality regarding information which ONLY she/he and the building administrators know.
- Complete requisitions for all supplies from department chairpersons plus supplies for all offices. Maintain departmental budgets. Maintain inventory.
- Assist in processing and distributing outgoing and incoming mail.
- Maintain the bell system.
- Prepare fire/tornado/lockdown drill reports.
- Process work orders.
- Maintain school website.
- Send out Daily Announcements
- Assist principal in preparing Facility Use Forms, including calculating fees.
- Assist administrators in preparing for school registration in August/kg registration in April (primary school).
- Typing letters, labels, fliers and all other requests made by teachers and administrators.
- Prepare for publication the student handbook.
- Maintain daily absence/substitute teacher log through Veritime
- Prepare time cards of non-certified employees and substitutes for the principal's signature.
- Order text and workbooks.
- Coordinate fundraisers/school pictures.
- Complete DOE-CP reports.
- Collect money for fundraisers or other appropriate school activities and follow proper internal controls
- Maintains a high degree of confidentiality.
- Maintains professional appearance and behavior while on duty.
- Ensures own regular and prompt attendance.
- Effectively completes regular and other job performance criteria as assigned.
- Promotes good public relations for the school district and community.
- Remains free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
- Performs such other tasks and assumes such other duties and responsibilities as the Principal may assign.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of people.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS and ABILITIES: Ability to pass a typing test at 55 words per minute. Ability to operate a personal computer and related software. Ability to get along with other people. Patience in dealing with parents and small children. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
