The TMS Coordinator is responsible for overseeing and implementing all aspects of Transcranial Magnetic Stimulation (TMS) treatment within a clinical or behavioral health setting. This role combines direct patient care, technical operation of TMS equipment, administrative duties, and collaboration with clinical staff to ensure safe, effective, and compassionate treatment for patients with mood and neurological disorder.
Key Responsibilities:
- Schedule and document all aspects of TMS treatment, ensuring accuracy and compliance with clinical guidelines.
- Prepare, calibrate, and operate TMS equipment, monitoring patient responses during sessions and ensuring patient safety and comfort.
- Provide patient education regarding TMS therapy, including initial consultations, treatment expectations, and ongoing support throughout the treatment course.
- Maintain accurate, up-to-date medical and clinical documentation, including intake forms, consent forms, safety screenings, and depression rating scales.
- Serve as a liaison between patients, families, and clinical staff, demonstrating empathy, building trust, and supporting a vulnerable patient population.
- Assist with insurance authorizations, billing procedures, and financial agreements related to TMS services.
- Mentor new hires and students in TMS procedures and clinic routines as needed.
- Perform administrative duties such as patient check-in, scheduling, and front-office support.
- Ensure compliance with all professional standards, policies, and confidentiality regulations.
- Participate in ongoing training, quality improvement, and team meetings to enhance patient care and clinic operations.
Qualifications:
- Bachelor’s degree in Healthcare Administration, Psychology, Human Services, or a related field preferred; equivalent experience considered.
- At least one year of experience in a patient care, mental health, or clinical setting required; additional clinical certifications (e.g., CMA) are a plus.
- CPR certification, Seizure Response Training, and TMS Certification required or must be obtained within six months of hire.
- Proficiency with electronic health record (EHR) systems and general computer skills.
- Strong interpersonal, communication, and organizational skills, with a patient-centered approach.
- Ability to work collaboratively with clinical teams and independently manage responsibilities.
- Detail-oriented, professional, and dedicated to delivering high-quality patient care.
Preferred Skills:
- Experience administering TMS or similar neurostimulation therapies.
- Knowledge of insurance and billing workflows.
- Advanced ability to reassure patients, answer questions, and ensure a positive treatment experience.
Work Environment:
- Standard office hours, with some flexibility required depending on patient scheduling and clinic needs.
- May involve travel between clinic locations for training or coverage.
