Our Meetings Express Coordinators serve as one of the first points of contact for our guests, ensuring a seamless and memorable experience.
Cultivating relationships with our event planners to coordinate Conference Center services to meet or exceed expectations of guest groups is a primary duty of this role. By coordinating these memorable events for our guests you would play a key role in Bringing God Glory Through Purposeful Hospitality.
Responsibilities
- Secure bookings by negotiating rates, preparing formal contracts, and conducting prospecting calls and follow-ups.
- Generate the required number of prospecting calls and follow-up contacts.
- Achieve personal sales goals, measured quarterly and annually, while maintaining exceptional customer service standards.
- Respond to inbound inquiries, assess client needs, and provide detailed information on conference center facilities, services, and pricing.
- Collaborate with clients to gather event details, including lodging, meeting spaces, food services, and any unique requests.
- Communicate inter-departmentally to ensure smooth execution of schedules and requirements.
- Evaluate client needs, recommend solutions, and ensure all event details are executed accurately and professionally.
- Regularly consult with the Sales & Marketing Director to discuss account statuses, sales activity, and operational challenges.
- Work with internal and external teams on various projects and tasks to enhance customer satisfaction and operational efficiency.
- Address guest group needs by assessing conference center capabilities and aligning them with client expectations.
Requirements/Skills
- A strong commitment to Jesus Christ and alignment with the mission of Ridgecrest Conference Center.
- Exceptional communication and negotiation skills with the ability to follow written and verbal instructions.
- Solid understanding of hotel or large facility operations, with proven organizational and administrative abilities.
- Strong customer relationship skills, with a focus on professionalism and integrity.
- Detail-oriented planning & execution - Must be able to keep accurate record of sales calls and contracts as indicated in procedures.
- Must be able to create banquet event orders and group resumes accurately.
- Proficiency in learning and utilizing computer software for event bookings and communications.
- Interpersonal and multitasking skills to manage complex responsibilities efficiently.
- Negotiating skills - Must be able to Influence others in favor of a product, service, or point of view
- Previous experience using Salesforce is preferred.
- Must be coachable and willing to train with our experienced professionals.
Education, Work Experience, and Other Qualifications
- Minimum of 3 years of experience in hospitality sales, event planning, or customer service (Required).
- Valid driver’s license (Required)
- Must have a High School Diploma (Required)
- Associate degree in hospitality, business administration, or a related field (or equivalent experience/training) (Preferred).
Physical Demands and Work Environment
- Ability to work on a computer for extended periods, reviewing and managing documents.
- Capacity to walk across campus while carrying up to 25 pounds. (Our campus is quite large & can have various degrees of steepness)
- Physical ability to set up event spaces, including moving tables, chairs, and equipment.
- Availability to work evenings, weekends, and holidays as needed, based on group and departmental schedules.
