Job Title: Transition Records Support Specialist
Monday through Friday from 7:30 am to 4:00 pm EST
Key Responsibilities:
- Records Processing: Manage, process, and review separation orders (NGB Form 22 or DD 214-1), retirement awards, RPAM corrections, and reduced age retirements for departing Soldiers.
- Retirement Certificate Generation: Generate Retirement Certificates for state-level retirement ceremonies.
- Retirement Briefings: Conduct retirement briefings during quarterly Transition Seminars.
- NGB 22/DD 214-1 Processing: Primarily focus on the production of the final NGB 22/DD 214-1 for retiring Soldiers, providing quality assurance checks for other retirement records.
- Subject Matter Expertise: Serve as a subject matter expert and advisor for all retirement and transition records.
- Record Retrieval: Utilize the Interactive Personnel Electronic Records Management System (iPERMS) to retrieve personnel records.
- DVA and Medical Command Coordination: Collaborate with the Department of Veterans Affairs (DVA) and the GAARNG Medical Command to provide required medical and personnel records.
- Inquiries Resolution: Address inquiries from the DVA and transitioning Soldiers, resolving sensitive questions related to records.
- Research Program Support: Coordinate, monitor, and provide support for research programs related to Soldier records.
- Communication Management: Manage the receipt and distribution of postal items and internal organizational communications.
- Medical Record Retrieval: Utilize the Health Readiness Records (HRR) database for efficient retrieval of medical records.
- Record Retrieval and Distribution: Facilitate the secure retrieval and distribution of medical and personnel records.
- Records Tracking: Maintain an updated records tracker on an Excel workbook, capturing records request data.
- Record Updates: Update supporting documents and records with copied medical and personnel data.
- Record Management & Compliance: Design and implement effective methods for collecting, analyzing, storing, retrieving, and reporting medical and personnel records in accordance with Federal, state, and local laws.
- Record Inspections: Conduct inspections of records to ensure completeness, internal consistency, and data accuracy.
- Electronic Records Transmission: Assist in planning and implementing new programs for secure electronic records transmission, adhering to HIPAA standards.
- HIPAA Compliance: Ensure compliance with HIPAA regulations for all release of information requests.
- Coordination and Administrative Support: Execute various coordination and administrative support functions, such as researching information, compiling data, preparing reports, and providing responsive customer service.
- Record Updates and Finalization: Ensure meticulous updates to Soldiers' records, including finalizing documents and ensuring accurate entry into the system.
- Bachelor's degree in Human Resources, Business Administration, or a related field
- Strong understanding of military regulations, policies, and procedures related to personnel records and transitions
- Proficiency in Microsoft Office Suite and database management systems
- Experience with personnel data management and record-keeping
- Excellent communication, interpersonal, and organizational skills
- Strong attention to detail and accuracy
