Role Description

This is a full-time on-site role for an Administrative Office Assistant at Right Medical Billing. The Administrative Office Assistant is responsible for fielding and directing all phone calls, coordinating meetings and schedules, setting up online conference calls and dedicated events, managing appointments and travel arrangements, and processing medical records requests.

  • Speaking Spanish language is preferred
  • High School Diploma or GED equivalent is required
  • Associate’s degree required or 2 years’ experience as an Administrative Office Assistant in lieu of a degree

Essential Duties and Responsibilities

  • Performs routine secretarial and administrative duties which include screening telephone calls, receiving and directing visitors, resolving routine inquiries
  • Facilitates communication between departments; may also prepare and distribute minutes of meetings
  • Responds promptly and professionally to customer inquiries via phone, email or chat
  • Captures complete messages with accurate contact information and prioritizes calls accordingly
  • Prepares and transcribes meeting minutes, correspondence, forms, reports, and other written communications as required
  • Performs administrative tasks and duties specific to department being supported, which may include preparing complicated documents, maintaining databases, accessing information from databases to prepare reports, and maintaining accurate files
  • Independently prepares, with management review and approval, computer-generated slides, and/or handouts for the department
  • Maintains adequate office supplies and keeps track of office inventory
  • Manages service calls and follows up to ensure that required maintenance/repairs are performed in a timely manner
  • Offers innovative solutions through participation in performance improvement projects and activities
  • Assists with the preparation and maintenance of department organizational charts and policy and procedures, ensuring most current documents are available for department leader(s) and staff
  • Provides contributions towards improvement of department scores for employee engagement on department scorecard, i.e., peer-to-peer accountability
  • Coordinates deadlines related to multiple projects
