Job Summary: Manages and supervises day-to-day operations of the Branch Parts Department activities and employees. Sets employee expectations to achieve growth in individual skill sets, achieve optimum work product efficiency and to determine if individual employees are desired for retention or redeployment outside Rihm Kenworth. Accomplishes budget goals using proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying and advertising.
Essential Job Functions/Responsibilities:
- In conjunction with Controller, Regional Manager and Director of Parts, develops monthly and annual department budget goals
- Contributes to achievement of department goals and objectives
- Stays abreast of activities/work in the warehouse, front and back counters (and phone room if applicable) at all times
- Coordinates a prompt, efficient and timely flow of required paperwork Analyzes sales, expenses and inventory on a monthly basis and develops or modifies programs to maintain profit goals
- Assists in the collection of past due accounts
- Timely processing of required reports to corporate.
- Maintains a balanced inventory consistent with the requirements of the service department, body shop (if applicable), wholesale accounts and the do-it-yourself public.
- Establishes individual parts inventory levels and balances them for maximum turnover and minimized obsolescence
- Upkeep of core and product monthly/annual returns
- Approves PACCAR and vendor invoices
- Directs shipping and receiving efforts to ensure timely processing
- Assists Director of parts with pricing parameters/programs in each customer category (based on territory) to generate desired gross profit for the company while at the same time maintaining customer loyalty and a competitive edge
- Responsible for sales and superior customer service via phone, at counter or upon parts delivery
- Develops branch specific sales promotions for Outside Sales in conjunction with Director of Parts
- Makes regularly scheduled customer visits/sales calls to customers and prospects
- Partners with Outside Sales on pricing and quotes
Other:
- Effectively handles customer complaints immediately and according to dealership guidelines Schedules delivery drivers for maximum efficiency
- Schedules Parts Department vehicles for repairs and maintenance.
- Participates in Managers meetings and events.
- Enforces safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried and OSHA Right-to-Know.
- Keeps current and complies with federal, state and local regulations that may affect parts sales.
- Ongoing professional training and development as required.
- Other duties to meet business requirements.
Personnel Management:
- Participates in hiring process with interviews, and recommendations for hires, trains, motivates, mentors and monitors performance of branch Parts staff
- Participates in decision making process with regard to employment actions such as hiring, promotions, transfers, disciplinary actions, terminations, etc. Effectively and proactively interacts with team members to deliver on department and company goals
- Supervises day to day activities of branch Parts employees: Countermen, Warehouse/S/R/Delivery Drivers to achieve best customer outcomes
- Trains, motivates, mentors, monitors and reviews employee performance
- Coaches and takes corrective and disciplinary action, especially with regard to safety matters, accidents and near misses
- Strives for teamwork and positive employee relations within department and with other departments
- Oversees implementation and maintenance of employee training schedule
- Monitors/manages Parts employees’ time records and approves for payroll
- Holds regular employee meetings to foster open two-way communication and meet employee training and development needs
Education & Essential Qualifications:
- 3 years Parts Department experience within the heavy truck industry
- Keen understanding of Parts Sales
- Intermediate math skills
- Intermediate computer skills (e.g. Excel, Word, PowerPoint)
- Valid driver’s license
