1. An administrative assistant and install coordinator role combine general office support with coordinating installation projects, requiring strong organizational, communication, and customer service skills.

· Focus:

Provides direct support to individuals or teams, handling routine tasks and administrative duties.

· Responsibilities:

  • Answering phones, scheduling appointments, and managing emails.
  • Creating and maintaining records, reports, and presentations.
  • Assisting with travel arrangements and expense reports.
  • Supporting office operations and ensuring smooth workflow.

· Skills:

Strong organizational skills, attention to detail, and proficiency in office software.

2. An Installation Coordinator plans, coordinates, and oversees the installation of various systems, ensuring projects are delivered on time and within budget, working with clients, vendors, and installers.

Scheduling and Coordination:

  • Schedules installations, vendors, and service providers.
  • Coordinates schedules and deadlines with field supervisors.
  • Ensures work is completed on time.
  • Manages installation calendars and contacts customers to schedule installations.

· Logistics and Documentation:

  • Completes paperwork for install crews.
  • Ensures paperwork is completed by salespersons.
  • Maintains records of installations warranty.

· Customer Relations:

  • Establishes customer rapport to ensure satisfaction.
  • Handles customer inquiries and concerns.

Qualifications

  • Strong communication skills, both verbal and written
  • Proficient in Microsoft Office and Quickbooks
  • Excellent organizational and time management abilities
  • Customer service experience with a focus on client satisfaction
  • Clerical and administrative experience, including data entry and filing
  • Familiarity with and multi-line phone systems is a plus
  • Ability to manage calendars and appointments effectively
