Ripple Effect is looking for an Application Management & Procurement Specialist with four years of experience to support a growing company in maximizing the value of its software investments, promoting company-wide efficiencies, and mitigating risks. In this role, you will maintain our software and cloud subscription inventory, coordinate requests for new applications, track subscription renewals, collaborate with departments to advise on available tools, and ensure compliance with licensing agreements.

Duties could include more specific involvement in enterprise architecture and/or government contract compliance, providing an opportunity to both tailor the position based on skills and interest as well as provide multiple opportunities and avenues for growth.

  • Salary Range: $87,639.00 - $100,784.00 per year (how we pay and promote) 

Responsibilities

Manage Software/SaaS Inventory: Maintain an up-to-date inventory of software licenses and SaaS subscriptions using ERP and SharePoint systems, ensuring accuracy and accessibility.

Coordinate Software/SaaS Procurement Process: Ensure company policies and procedures for bringing on new software and SaaS tools are followed and work with department leaders to identify and implement opportunities to improve workflows.

Advise on Selecting New Tools: Leverage knowledge of the organization's overall application stack and software marketplace to recommend software and SaaS solutions that meet business requirements and align with existing assets.

Ensure Licensing and Subscription Compliance: Verify that software and SaaS usage aligns with license agreements, organizational policies, customer contracts, and applicable government regulations.

Maintain Vendor Relationships: Liaise with software and SaaS providers to clarify licensing terms, address any disputes or issues, and support contract negotiation efforts in conjunction with the Contracts team.

Track and Renew Licenses and Subscriptions: Monitor renewal schedules for software and SaaS agreements to ensure timely actions, avoiding service interruptions, unwanted auto-renewals, or compliance issues.

Provide Reporting and Insights: Generate reports on software and SaaS usage, costs, and renewals to support data-driven decision making across the organization.

Optimize Software and SaaS Costs: Identify unused or underutilized licenses and subscriptions and develop strategies to reduce costs through reallocations or cancellations.

Educate Employees: Provide guidance to employees on available software and SaaS tools, proper usage, and compliance with licensing and organizational policies.

Requirements

Minimum Education and Experience 

  • Bachelor's degree
  • Minimum of 4 years of experience relevant to application management, including at least 2 years of experience managing SaaS/cloud tools

Basic Requirements 

  • Proven experience managing software and SaaS licenses/subscriptions, including comparison of software licensing models, tracking and managing renewals, and ensuring compliance with terms and conditions
  • Demonstrated familiarity with the application lifecycle as well as how an organization's application stack integrates with business processes and provides technical solutions
  • Strong analytical skills including experience identifying cost-saving opportunities and making recommendations to optimize software and SaaS utilization
  • Experience generating reports and insights related to software usage, costs, and renewals
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities
  • Experience collaborating with cross-functional teams, including IT, finance, and business departments
  • Demonstrated ability to work productively and collaboratively in a Microsoft environment, including using SharePoint to accomplish tasks
  • Excellent interpersonal and communication skills, with the ability to educate and advise non-technical audiences on software usage and compliance
  • Must reside in a location Ripple Effect is set up to support (any state within the U.S. except NY, CA, and Puerto Rico)

Skills That Set You Apart 

  • Relevant certifications (e.g. IT Asset Management, ITIL)
  • Experience managing IT applications for a small business and/or government contractor
  • Experience managing IT applications within the context of an Enterprise Architecture framework
  • Experience with software/SaaS compliance for government contracts
  • Experience with Microsoft 365 licensing and/or Azure cost management
