What are the responsibilities and job description for the Service Support Coordinator (Graphics Production) position at Risk Strategies?
The Service Support Coordinator (Graphics Production) plays a vital role in supporting the graphics team, managing print and office supplies, coordinating shipments, and ensuring seamless office operations. This position requires a detail-oriented, organized, and proactive professional who can balance digital marketing tasks, client collateral production, and general office support.
In this role you will:
Provide Graphics & Digital Marketing Support
- Collaborate with the Graphics team on printing and shipping client and department collateral
- Track and manage deliverables using the Agency Management System and Graphics Calendar
- Create and update client Flipping Page books and QR codes through Scanova, ensuring all links are current
- Restock and control inventory for Marketing material
- Pack and ship Marketing material for client open enrollments, fairs and conferences
Support Print & Production Management
- Maintain print supply inventory, ordering from Staples and managing general office supplies
- Ensure all printers and the Fiery system are operational, coordinating service calls when necessary
- Assist staff with printer access issues and troubleshoot before escalating to service providers
- Maintain appropriate paper weight and stock levels for various printing needs
- Print, package, and distribute client materials, including Client booklets/flyers/summaries/notices and labels, Proposal booklets and renewal documents, Board meeting packets for select groups and Event or special project materials
Manage Shipping & Logistics
- Manage shipping logistics, including FedEx and other vendor accounts for pricing and label generation
- Pack and ship client collateral, ensuring timely and accurate deliveries
- Coordinate urgent shipments and drop off packages when necessary
Provide General Office Support
- Provide backup support for front desk duties, including phones, voicemail, and mail/package handling
- Calendar management, scheduling meetings and conference rooms.
- Office events and client meetings, including ordering and setting up meals, special events, and clean-up
- Assist with local client pick-up & deliveries, including proposals, renewals, office supplies and marketing materials
Perform Miscellaneous Responsibilities
- Run office-related errands such as supply pickups, event setup, and lunch orders
- Assist with office-sponsored events and meetings, ensuring a smooth experience for guests and employees
Experience we desire:
- Experience in digital marketing, graphics production, or office administration preferred
- Strong organizational and time management skills with attention to detail
- Ability to troubleshoot printers and office technology effectively
- Proficiency with Google Drive, Scanova, and digital asset management tools
- Excellent communication and customer service skills
- Ability to lift and transport office supplies and printed materials as needed, (up to 25lbs)
- Driver’s license and reliable transportation for local deliveries and errands, (up to 50miles/100 round trip). Mileage is reimbursable
